ABOUT THE PRACTICE
Atlanta Oculofacial Plastic Surgery is an elite, boutique practice in Sandy Springs dedicated to the art and precision of oculofacial and cosmetic plastic surgery. We do not operate as a typical medical office — we operate as a luxury experience. Every patient interaction, from the moment they walk through our doors to their post-operative follow-up, is curated with the same standard of care you would expect at a five-star resort.
We are seeking an extraordinary individual who shares that vision — someone who views patient care not as a transaction, but as an art form.
This role is not for the general medical assistant. We are seeking candidates with a proven background in aesthetic medicine — plastic surgery, oculofacial or facial plastics, cosmetic dermatology, or a high-end medspa — who are ready to elevate that experience even further. No general-practice training provided.
THE ROLE
As our Medical Assistant & Patient Care Coordinator, you will serve as the heartbeat of the patient experience. You are equal parts clinical professional, hospitality specialist, surgical assistant, and patient advocate — seamlessly transitioning between roles while maintaining an unflappable sense of warmth and elegance.
RESPONSIBILITIES:
HOSPITALITY & PATIENT EXPERIENCE
Welcome and check in patients with resort-caliber warmth and attentiveness
Prepare made-to-order beverages and refreshments for each new patient consultation (does not take more than 5 minutes)
Ensure wait times consistently remain under 10 minutes through proactive scheduling and communication
Anticipate patient needs before they are voiced — think ahead, not reactively
Maintain an immaculate, serene, and welcoming patient environment at all times
CLINICAL & SURGICAL SUPPORT
Room patients and obtain thorough medical histories, consents, and pre-operative documentation
Assist the surgeon during in-office procedures with precision and composure
Perform sterile processing, instrument packaging, and tray preparation per protocol
Confidently answer patient FAQs regarding procedures, recovery, and expectations
Maintain clinical supply inventory and ensure all rooms are stocked and procedure-ready
COORDINATION & SCHEDULING
Prepare detailed surgical quotes and procedure packages for prospective patients
Schedule and confirm surgical appointments, pre-op visits, and post-op follow-ups
Coordinate with surgery centers, anesthesia teams, and external vendors as needed
Manage the day's schedule to ensure seamless, unhurried patient flow
COMMUNICATION & TECHNOLOGY
Handle patient inquiries via phone, text, and email with prompt, polished professionalism
Document all interactions accurately in NexTech EMR
Navigate digital platforms, patient portals, and scheduling systems with ease
Maintain discretion and HIPAA compliance in all communications
QUALIFICATIONS — REQUIRED
Minimum 2 years of hands-on experience in plastic surgery, oculofacial or facial plastics, cosmetic dermatology, or a luxury medspa setting — this is non-negotiable
Demonstrable comfort with in-office surgical assistance and maintaining sterile technique as well as with proper cleansing and sterile processing of instruments and packaging to maintain organized system.
Experience or strong familiarity with NexTech EMR (or comparable aesthetic-practice EMR systems)
Exceptional verbal and written communication skills — you represent a luxury brand in every interaction
Natural hospitality instinct: you take genuine pride in creating memorable personal experiences for patients
High comfort with technology: EMR platforms, patient communication apps, scheduling tools, and general digital fluency
Polished, professional appearance and demeanor befitting a high-end practice environment
QUALIFICATIONS — PREFERRED
Prior experience specifically in oculofacial plastics, facial plastics surgery, etc.
Background in surgical scheduling and package quoting
Familiarity with blepharoplasty, ptosis repair, brow lifting, facelifts and facial rejuvenation procedures
Experience in a concierge, boutique, or VIP-service medical environment
