Senior Specialist, Administration

Job’s mission

As an Administrative Assistant at ASM in Hillsboro, OR, you will support service operations leadership by ensuring smooth day-to-day office operations and delivering high-quality administrative support. This role is central to maintaining an efficient, well-organized workplace while serving as a key point of contact for employees, customers, and visitors. You’ll contribute to operational excellence, employee experience, and a safety-first culture in a fast-paced, dynamic environment.

What you will be working on

Provide comprehensive administrative support to site leadership, including reporting, scheduling, and departmental coordination

Manage executive-level calendars, travel arrangements, expense reporting, and meeting logistics

Serve as the first point of contact for visitors, ensuring a professional and welcoming office environment

Support onboarding processes, site badging, and new hire experience initiatives

Maintain office operations including supplies, vendor coordination, facilities upkeep, and workspace organization

Manage site data, distribution lists, seating charts, and asset tracking processes

Plan and execute onsite events, meetings, and employee engagement activities

Drive safety initiatives by supporting compliance programs, audits, and emergency preparedness activities

Prepare and deliver recurring and ad hoc reports, resolving issues with speed and accuracy

Document processes, communicate project updates, and proactively address challenges with solutions

What we are looking for

An Associates (ABA) degree in business administration is desirable. Candidates with comparable experience, knowledge and skills will be considered.

3+ years of administrative or data management experience, ideally in a high-tech or manufacturing environment

Strong proficiency in Microsoft Office, including Excel and PowerPoint

Experience supporting office operations, reporting, and executive-level activities

Excellent organizational skills with the ability to manage competing priorities

Strong communication and interpersonal skills, with a customer-service mindset

Ability to work independently in a fast-paced, changing environment

What sets you apart

Experience with SAP, SharePoint, and Microsoft Teams collaboration tools

Prior experience supporting executive leadership and complex scheduling needs

Experience planning events or employee engagement initiatives

Knowledge of facilities coordination and vendor management

Understanding of basic accounting principles

Experience contributing to safety programs or compliance initiatives
