Student Account Financial Specialist – Future Opportunities

Location: AIM campus, Fremont, CA

Schedule Options: Full-time

Compensation: $2 8-$38 / hour, depending on experience, qualifications and other factors

Position Overview

We’re building a talent pool for future Student Account Financial Specialist openings, and we’re hoping to connect with individuals seeking temporary, temporary-to-permanent, or permanent employment .

This role is crucial to managing federal funding, alternative financing, and third-party billing—ensuring students are financially supported and institutional operations run smoothly.

Key Responsibilities

Administer federal and alternative funding disbursements in compliance with all regulations

Oversee third-party billing (WIA, TA, Vocational Rehab) and coordinate timely payments

Track Title IV refunds and credit balances; ensure timely and accurate processing

Review student accounts and ledgers to verify adequate funding and identify financial concerns

Meet with students to arrange payment plans and monitor cash payments

Manage account closeouts for graduates and drops, including reporting and compliance tasks

Coordinate with Financial Aid on student refunds and process required exit documentation

Maintain accurate records in CampusNexus, documenting financial transactions and communications

Prepare weekly deposits and monthly submissions to accounting

Support inventory management, receive signed agreements, and keep accurate office documentation

Attend monthly Census Meetings, trainings, and relevant professional development events

Mentor new staff and contribute to a positive, student-focused culture

Complete additional assignments as directed by the Supervisor

Qualifications

Required:

High School Diploma or GED (or equivalent professional experience)

At least 2 years of financial/accounting experience , preferably in education

Strong math, accounting, and problem-solving skills

Proficiency in Microsoft Office

Flexible availability, including occasional evenings and travel as needed

Preferred:

Bachelor's degree in business, accounting, or related field

Experience using CampusNexus or similar student information systems

Work Schedule

Final schedule is determined based on campus needs, but a typical schedule would be:

Monday – Thursday: 2 days 9a-6p 2 days 10a-7p

Friday: 8a-5p.
