Location: Chevy Chase, Maryland (4 days in-office, 1 day remote)

Compensation: $100,000 to $120,000, commensurate with experience, plus a comprehensive benefits package including 100% employer-paid healthcare and 401k with up to 10% match.

POSITION OVERVIEW:

The Executive Assistant serves as the operational heartbeat of the Office of the President, bringing organization, continuity, and thoughtful execution to the countless details that enable the Foundation's leadership to focus on advancing its mission and philanthropic impact.

Serving as the President's trusted administrative and organizational partner, the Executive Assistant provides exceptional executive support while helping manage priorities, communications, relationships, meetings, travel, events, and strategic commitments. This role ensures the President's time is leveraged effectively, important matters receive the appropriate attention, and commitments are executed with professionalism, discretion, and exceptional follow-through.

Reporting to the Managing Director, Operations and working closely with the President, the Executive Assistant plays a central role in fostering effective communication and coordination among Foundation leadership, trustees, rising trustees, family members, grantees, staff, and external partners. Through thoughtful organization, sound judgment, and proactive problem-solving, this individual helps create the structure and continuity that enable the President and the Foundation to operate at the highest level and keep complex activities in motion.

The ideal candidate is proactive, highly organized, detail-oriented, and service-minded, with exceptional judgment, outstanding communication skills, emotional intelligence, and a natural ability to anticipate needs, solve problems, and build trusted relationships.

RESPONSIBILITIES:

Executive Support and Coordination

  • Serve as the President's trusted administrative and organizational partner, enabling her to focus on strategic leadership, governance, and philanthropic priorities.
  • Proactively manage the President's complex calendar, scheduling, travel, meetings, and daily priorities with exceptional accuracy, discretion, and foresight.
  • Prepare agendas, briefing materials, guest profiles, background information, and meeting summaries to ensure the President is consistently informed, well prepared, and positioned for success.
  • Monitor commitments, action items, deadlines, and correspondence, ensuring timely follow-through, accountability, and seamless execution.
  • Draft, proofread, and coordinate professional correspondence and communications on behalf of the President.
  • Coordinate all meeting logistics, materials, hospitality, and post-meeting follow-up to ensure a seamless and professional experience.
  • Anticipate needs, identify potential challenges, and proactively solve problems and implement solutions before issues arise and they become obstacles.

Relationship, Meeting, and Event Management

  • Coordinate communications and logistics involving trustees, rising trustees, family members, Foundation staff, grantees, consultants, vendors, and external partners, ensuring a high level of responsiveness, professionalism, and attention to detail.
  • Support board meetings, family meetings, retreats, educational programs, site visits, and special events by coordinating invitations, RSVPs, meeting materials, hospitality, logistics, and post-event follow-up.
  • Assist with the onboarding, orientation, and ongoing engagement of trustees, rising trustees, and family participants.
  • Serve as a trusted liaison between the President and internal and external stakeholders, fostering timely communication, strong relationships, and a consistently positive experience.
  • Maintain a thorough understanding of Foundation priorities, strategic initiatives, and key relationships in order to provide informed coordination, context, and executive support.
  • Help ensure that trustees, family members, Foundation leadership, grantees, and other key stakeholders receive timely communication, thoughtful follow-up, and exceptional service.

Organizational Effectiveness and Information Management

  • Maintain organized and accessible records, governance materials, meeting documentation, contact databases, and other institutional records to support continuity, efficiency, and organizational effectiveness.
