Position Title: Receptionist
Location: AMFT Group
Employment Type: [Part-Time min 30 hrs, later potiential for more]
Position Overview
The Receptionist is the first point of contact for our clients and plays an essential role in creating a welcoming, organized, and supportive environment. This position blends front office coordination with administrative and client care responsibilities, helping ensure that daily operations run smoothly while maintaining a calm, respectful, and client-centered atmosphere.
We are seeking someone who is dependable, detail-oriented, and able to balance multiple tasks while providing a warm and professional presence.
Key Responsibilities
Client Experience & Front Desk Support
- Greet clients warmly and create a safe, welcoming environment
- Answer phones, return calls, and assist with client inquiries
- Support new client registration and onboarding processes (24–48 hour turnaround expectation)
- Communicate clearly and respectfully regarding appointments, policies, and next steps
Scheduling & Coordination
- Manage provider schedules, including new and follow-up appointments
- Coordinate cancellations, and rescheduling
- Assist with identifying and addressing scheduling gaps
Insurance & Client Intake
- Verify insurance benefits and eligibility prior to appointments
- Communicate copays, coverage, and basic benefit information to clients
- Ensure all required intake paperwork is completed and accurate
Clinical Support Tasks
- Obtain and record client vitals as needed
- Maintain and update patient information in the electronic health record (EHR) system
Administrative Responsibilities
- Scan and upload documents into client charts
- Manage and process releases of information, records requests, and disability paperwork
- Maintain organization of front office systems and documentation
Medication & Refill Coordination (coorindate with other staff- assist team if someone is gone)
- Track and manage medication refill requests using internal systems
- Communicate refill needs to providers and ensure timely follow-up
Team Collaboration
- Work closely with administrative and clinical staff to support daily workflow
- Communicate updates, needs, or concerns proactively
- Assist in maintaining a positive, team-oriented environment
Qualifications
- High school diploma or equivalent required
- Previous experience in a medical, mental health, or administrative setting preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and professionalism (HIPAA awareness preferred)
- Comfortable using computers, EHR systems, and office technology
