Job Description
We are looking for an organized, sharp, and proactive Administrative & Operations Assistant to support our CEO and executive team. This is not just a standard administrative gig; you will wear multiple hats ranging from executive scheduling and brand management to high-level compliance, research, and investment due diligence.
If you are an aspiring entrepreneur, a marketing enthusiast, or a business student who thrives on variety and possesses an exceptional, near-obsessive attention to detail, this role is perfect for you.
Possible Responsibilities
- Calendar & Coordination: Coordinate and schedule appointments, meetings, and travel for the CEO and other executive-level staff.
- Inbound Communication: Handle incoming phone calls with high professionalism and direct them appropriately.
- Meeting Support: Attend key meetings, prepare and handle precise meeting notes, and distribute action items.
- Operational Errands: Run local business-related errands and support general team logistics.
- Digital Brand & Marketing Support: Support social media and marketing efforts.
- Online Presence: Maintain and regularly update our website, LinkedIn, and social media channels to ensure our digital presence is sharp, active, and professional.
- Registrations: Manage essential organizational registrations (e.g., SAM.gov, state business registrations, and other compliance platforms).
- Investment Due Diligence: Assist with due diligence activities to prepare client companies to successfully secure investment.
- Corporate Documentation: Help build out, organize, and maintain corporate documentation, folders, and standard operating procedures (SOPs).
- Event Planning: Assist in planning, coordinating, and executing company events, workshops, and team gatherings.
What We Are Looking For
- The Meticulous Mindset: You must be extremely meticulous. If you love checking off checklists, creating organized systems, and ensuring nothing slips through the cracks, you will thrive here.
- Academic Background: Currently enrolled college student preferred—especially those studying Marketing, Sales, Business, or Entrepreneurship. Open to all other majors if you are a good fit.
- Strong Communicator: Excellent written and verbal communication skills are a must.
- Adaptability: Comfortable pivoting between highly structured tasks (compliance documents) and creative tasks (social media management).
Please submit your resume, college transcript, and cover letter.
