Position : Office Manager / Executive Assistant
Summary : Cyprium Partners, a private investment firm that provides debt and structured equity capital to profitable middle-market companies, is seeking a full time Office Manager / Executive Assistant to join their Cleveland team. The ideal candidate should be mature, a team player and able to handle confidential information with discretion.
Location : On-site Monday through Thursday, flexibility to work remotely on Friday
Hours : Monday – Friday 8:30 a.m. – 5:00 p.m. EST
Salary: Negotiable, based on experience
Essential Duties & Responsibilities
(Note: Other duties may be assigned)
Office Manager –serve as liaison between Cyprium and building management, manage and order office supplies, greet visitors and answer incoming phone calls, print, copy, scan, bind, file, mail distribution, and maintain the executive suite including conference rooms, supply room and lunchroom
Administrative Support – proactively manage calendars and assist with scheduling for investment professionals, including making travel arrangements and coordinating all necessary logistics. Review expense reports, assist with the planning and execution of meetings/events, and maintain important company documents including the company directory, employee roster, holiday schedule and payroll calendar. Help manage e-mail communication and oversee Cyprium-managed datasites.
Marketing Support - Assist the firm's marketing function with coordination of events, database management and travel arrangements.
Annual Meeting and Events – participate in the planning and execution of the firm’s annual meeting and other meeting/events, including organization and coordination with the venues, attendees and participants.
Accounts Payable – oversee the entire accounts payable process including invoice procurement, approval, and payment initiation
Banking – work with Cyprium’s online banking application and initiate wire and ACH transactions
Investor Relations – manage the firm’s primary reporting portal for investors, maintain master list of portal users and generate reports
Payroll – record hours and collect expense reports from employees and process employee HSA payments
Compliance – Generate reports for the Chief Compliance Officer including restricted securities reports, website and social media archiving reports and other IT-related reports
Information Technology - serve as liaison to Cyprium’s third-party management information system provider and submit maintenance and service requests as needed
New Employee Onboarding – assist new hires by distributing important information including company policies, procedures and emergency contacts and create their CRM and travel profiles.
Skills
Service-oriented mindset with a desire to function in and support a team
Proficient in Microsoft Office, Quickbooks, SAP Concur Travel, Salesforce.com and other office productivity tools, with ability to learn new software and systems
Excellent communication skills, both verbal and written
Problem-solving and strong decision-making capabilities
Attention to detail and organizational skills, including the ability to manage multiple tasks simultaneously, prioritize competing demands and accommodate frequent changes.
