Overview

Esencia Therapy & Wellness Center is seeking a dependable, organized, and professional Bilingual Medical Front Desk Specialist to join our team.

The ideal candidate must be fluent in English and Spanish, provide excellent customer service, communicate clearly with patients, and manage multiple administrative responsibilities accurately. This position is essential to the daily operation of the clinic, so excellent attendance, punctuality, professionalism, and reliability are required.

Responsibilities

  • Welcome patients and provide professional and friendly customer service.
  • Check patients in and out for appointments.
  • Answer and route incoming telephone calls.
  • Schedule, confirm, cancel, and reschedule patient appointments.
  • Contact patients regarding missed appointments, cancellations, and scheduling availability.
  • Follow up with patients who need to continue or resume treatment.
  • Verify insurance eligibility and benefits.
  • Obtain and monitor insurance authorizations, referrals, and prescriptions when required.
  • Explain copayments, deductibles, and patient financial responsibilities.
  • Collect copayments, balances, and other patient payments.
  • Maintain accurate patient information in the electronic medical record system.
  • Scan, upload, file, and organize patient and administrative documents.
  • Communicate with medical offices, referral sources, insurance companies, and patients.
  • Follow up with medical centers regarding referrals, prescriptions, medical records, and required documentation.
  • Assist patients with intake forms and required paperwork.
  • Maintain patient confidentiality and follow HIPAA requirements.
  • Keep the reception area clean, organized, and welcoming.
  • Help maintain supplies, snacks, coffee, and materials available for patients.
  • Assist with light daily office organization, including removing front desk trash when needed.
  • Support providers, therapists, and management with administrative tasks.
  • Perform additional duties as assigned.

Qualifications

  • Fluent in English and Spanish.
  • High school diploma or equivalent.
  • Previous medical front desk, medical office, physical therapy, chiropractic, or healthcare experience preferred.
  • Experience verifying insurance benefits and authorizations preferred.
  • Strong computer, typing, and data-entry skills.
  • Experience using an EMR or EHR system is preferred; WebPT experience is a plus.
  • Excellent verbal and written communication skills.
  • Strong organization and attention to detail.
  • Ability to multitask and work efficiently in a busy healthcare environment.
  • Professional, courteous, and patient-focused attitude.
  • Ability to work independently and as part of a team.
  • Reliable transportation.

Attendance and Reliability

Because the front desk is essential to patient care and clinic operations, the selected candidate must:

  • Maintain consistent and dependable attendance.
  • Arrive on time and be ready to work at the beginning of every scheduled shift.
  • Communicate professionally and promptly regarding emergencies or unexpected absences.
  • Request planned time off with appropriate advance notice.
  • Demonstrate accountability and commitment to the assigned work schedule.

Schedule

  • Full-time position.
  • Monday through Friday.
  • Approximately 35 to 40 hours per week.
  • This is an in-person position.
  • Flexibility to assist at our Davie or Tamarac location may be required.

Pay: $17.00 - $18.00 per hour
