Pay: $23.00–$26.00 per hour ($47,840–$54,080 annually)

We are seeking a motivated and organized Office Manager to oversee the daily administrative operations of our office. This is an excellent opportunity for someone with previous leadership experience who is looking to grow into a long-term management career. While experience managing people is required, prior experience in the developmental disabilities field is not—we will provide industry-specific training.

Position Summary

The Office Manager is responsible for overseeing the daily administrative functions of the office while supporting company leadership with personnel administration, scheduling, communication, compliance documentation, recruiting support, and office operations. The ideal candidate is highly organized, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment.

Essential Responsibilities

  • Manage the day-to-day operations of the administrative office.
  • Supervise and support office administrative staff.
  • Assist with recruiting, onboarding, and new hire paperwork.
  • Maintain employee personnel files and ensure documentation is complete.
  • Coordinate employee orientation and onboarding activities.
  • Schedule interviews, meetings, trainings, and appointments.
  • Answer phones, respond to emails, and provide exceptional customer service.
  • Prepare reports, spreadsheets, correspondence, and company documents.
  • Maintain organized electronic and paper filing systems.
  • Monitor office supply inventory and order supplies as needed.
  • Assist leadership with special projects and operational initiatives.
  • Coordinate weekly leadership meetings and prepare meeting materials.
  • Support compliance initiatives by ensuring documentation is accurate and organized.
  • Maintain confidentiality regarding employee and client information.
  • Work closely with leadership to improve office efficiency and workflow.
  • Perform additional administrative and operational duties as assigned.

Qualifications

  • Bachelor's degree required (Business Administration, Healthcare Administration, Human Resources, Management, or related field preferred).
  • Minimum of three (3) years of management or supervisory experience required.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Professional demeanor and strong customer service skills.
  • High attention to detail and accuracy.
  • Ability to prioritize multiple deadlines in a fast-paced environment.
  • Strong problem-solving and decision-making skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Ability to work independently and collaboratively with leadership.

Preferred Qualifications

  • Experience in healthcare, human services, residential services, or nonprofit organizations.
  • Human Resources, recruiting, or office administration experience.
  • Experience maintaining confidential employee records.
  • Knowledge of scheduling software or electronic record systems is a plus.
