Role Description The Office Manager role is based in Lynnfield, MA. The role is full time with some Saturdays required during the tax season. For the remainder of the year the schedule is flexible with scheduling and hours. This role oversees daily office operations, including scheduling client appointments, managing phones and email, organizing files (digital and physical), and ensuring the workspace is orderly and well-supplied. The Office Manager coordinates intake of client documents, assists with onboarding new clients, and supports tax professionals with administrative tasks and correspondence. Responsibilities also include maintaining office equipment, monitoring workflow during peak tax seasons, updating simple reports or spreadsheets, and supporting billing and payment tracking. The Office Manager serves as a primary point of contact for clients, providing courteous, professional customer service and helping ensure a smooth, efficient office environment.

Qualifications

  • Strong communication skills, including clear verbal communication, professional email writing, and the ability to interact effectively with clients and team members.
  • Administrative assistance and office administration skills, including scheduling, recordkeeping, organizing documents, and maintaining efficient office procedures.
  • Comfort working with office equipment such as printers, scanners, copiers, and multi-line phone systems, as well as basic troubleshooting abilities.
  • Customer service experience, with a focus on responsiveness, empathy, and maintaining a professional, client-centered approach.
  • Proficiency with Microsoft Office, Excel, and Outlook and the ability to learn tax or practice management systems.
  • Strong attention to detail, time management skills, and the ability to prioritize tasks in a deadline-driven environment.
  • Ability to work on-site in Lynnfield, MA on a regular basis while effectively managing tasks during remote work days.
  • Previous experience in a tax, accounting, or professional services office is preferred but not required; experience in confidential or regulated environments is a plus.
  • High school diploma or equivalent required; additional coursework or training in business, office administration, or related fields is beneficial.
