United Theological Seminary Job Description

Job Title: Administrative Assistant to the Business Office

Part time: 10-15 hours per week.

Summary

Support the daily operations of the business office, by providing student-focused service.

Essential Duties and Responsibilities Financial Aid

  • Maintains current knowledge and understanding of federal guidelines and regulations for financial aid eligibility and ensures that these are met.
  • Maintains student files and updates records to ensure integrity and compliance
  • Determines student eligibility for federal (loans and work study) and institutional aid programs and monitors data on students to ensure appropriate funding.
  • Counsel students to determine financial aid needs and options
  • Assist students on application process either in person, e-mail, or by phone
  • Prepares and distributes financial aid paperwork including award letters to students
  • Conducts entrance/exit interviews with students who need and/or have processed loans and sends lenders/guarantors copies of exit interviews for graduating students.
  • Maintains the National Student Loan Database (NSLDS)
  • Performs other related duties as assigned.

Business Office

  • Backup to the Receptionist- answer incoming phone calls, greet everyone that enters the building, process mail
  • Filing for various Business office areas (VP, AP, Student Billing, Financial Aid)
  • Assist with collections on delinquent student accounts. Assist the receptionist with Acceptiva journal entries and credit card reporting.
  • Assist the Development Accountant with entry of development cash receipts as needed.

Education and/or Experience

High School diploma or Equivalent; and three years of office experience and/or training; or equivalent combination of education and experience. Typing skills 40 WPM minimum.

Language Skills

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. The ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
