Job Title: Office Administrator – Logistics & Operations

We’re looking for a proactive Office Administrator to serve as the operational hub of the branch-keeping yard activity, drivers, containers, and customers moving smoothly. In this role, you’ll coordinate daily operations, manage scheduling and documentation, support sales and customer needs, and work closely with field teams and leadership to keep everything aligned and running efficiently.
What You’ll Be Doing
- Control Yard & Container Flow: In-gate and out-gate containers, verify QA procedures, track container movements, and conduct monthly physical inventory.
- Coordinate Dispatch & Scheduling: Review dispatch activity, manage yard delivery schedules, eliminate conflicts, and ensure drivers and yard staff are prepared days in advance while monitoring hours of service.
- Be the Communication Hub: Manage multi-line phones, handle all driver inbound calls, and maintain clear communication with customers, vendors, depots, suppliers, and third parties.
- Support Sales & Growth: Facilitate daily rentals and sales, handle inbound sales calls when reps are unavailable- up to and including closing deals, and manage local advertising to generate and track leads.
- Own Documentation & Compliance: Collect, organize, and manage time sheets, DVIRs, bills of lading, trip logs, permits, and safety documentation within Omni View.
- Prioritize Safety & Accuracy: Coordinate safety meetings, report accidents or near misses, and immediately escalate safety violations, equipment loss, or environmental spills.
- Handle Office Operations: Process customer payments and deposits, order supplies, maintain office organization, and keep day-to-day operations running smoothly.
Qualifications & Skills
You’ll Succeed in This Role If You Have:
- Associate’s degree or 2+ years of administrative experience in logistics, transportation, construction, dispatch, or sales
- Strong organizational skills with the ability to multitask and manage competing priorities
- Clear, confident phone and verbal communication skills
- Solid computer skills, especially Excel and Word
- A proactive, positive attitude—even under pressure
- Ability to work overtime when needed
- Valid driver’s license, reliable transportation, and ability to pass a background check
Preferred / Bonus Experience:
- 4+ years of administrative experience managing transportation or intermodal assets
- Sales experience or comfort supporting and closing customer transactions
