Overview

We are seeking a highly organized and experienced Medical Office Manager to oversee the daily operations of a busy healthcare practice. The ideal candidate will possess extensive medical office experience, strong leadership skills, and a comprehensive understanding of healthcare management principles. This role is vital in ensuring efficient clinic functioning, compliance with healthcare regulations, and delivering exceptional patient care. The Medical Office Manager will coordinate administrative functions, supervise staff, and implement policies that promote a productive and compliant environment.

Duties

  • Manage the overall operations of the medical practice, including scheduling, billing, and patient flow coordination.
  • Supervise administrative and clinical staff, providing training, performance evaluations, and team development.
  • Oversee fiscal management activities such as budgeting, financial reporting, and expense control to ensure financial health.
  • Maintain compliance with healthcare regulations including HIPAA privacy standards, JCAHO accreditation requirements, and health policy updates.
  • Utilize electronic health record (EHR) systems such as Epic, eClinicalWorks, or Dentrix to ensure accurate medical records management.
  • Coordinate with clinical staff to optimize workflow efficiency and improve patient experience.
  • Implement policies for medical administrative support functions including medical records management and medical terminology accuracy.
  • Monitor clinic operations to ensure adherence to safety standards and quality assurance protocols in acute care or dental settings.

Skills

  • Extensive experience managing medical or dental offices with proficiency in practice management software such as Eaglesoft or EMR/EHR systems.
  • Strong knowledge of healthcare management practices including budgeting, managed care, utilization management, and health regulation policies.
  • Proven supervisory skills with the ability to lead multidisciplinary teams effectively in a fast-paced environment.
  • Expertise in fiscal management including financial planning, budgeting, and resource allocation within healthcare settings.
  • Familiarity with medical terminology, medical records management, HIPAA compliance, and electronic health records systems like Epic or eClinicalWorks.
  • Excellent organizational skills with the ability to multitask across administrative and clinical functions while maintaining attention to detail.
  • Knowledge of hospital or clinic accreditation standards such as JCAHO and experience managing teams in acute or critical care environments is advantageous.
