Senior Loan Operations Associate – Job Description

This position supports the Loan Operations Manager in overseeing the Loan Operation functions by assisting with day-to-day operations, workflow coordination, compliance monitoring, and staff support in the lending division of the Bank.

Essential Functions

  • Assist the Loan Operations Manager in overseeing daily loan operation and document preparation activities.
  • Coordinate workflow between lending staff, credit department, and loan operations to ensure efficiency and accuracy.
  • Review loan files for completeness, accuracy, and compliance with internal policies and regulatory requirements.
  • Assist with monitoring TRID compliance, including timely Loan Estimates and Closing Disclosures.
  • Support the tracking and clearing of loan exceptions within the nCino Covenant Tracking system.
  • Assist in ensuring HMDA data is accurately collected, entered, and reported in a timely manner.
  • Help monitor SBA loan processing, including 7(a), 504, and 1502 reporting support.
  • Review daily reports such as file maintenance logs, master change reports, and exception tracking reports.
  • Assist in clearing unposted transactions and researching discrepancies.
  • Support audit and exam preparation, including gathering documentation and tracking exceptions to resolution.
  • Assist in maintaining imaging systems (CenterDoc or equivalent), ensuring proper indexing and document retention.
  • Help monitor participation loan activity, including payments, documentation, and communication with participating institutions.
  • Ensure proper tracking of insurance (hazard and flood) and assist with follow-up communications.
  • Stay current on regulatory changes and assist with implementing updates to procedures and controls.

Operational Support Responsibilities

In support of the Loan Operations Manager, this role assists with oversight and/or performance of:

  • Booking and indexing new, renewed, and modified loans.
  • Preparing and reviewing LaserPro documentation.
  • Monitoring covenants and exceptions for accuracy and completeness.
  • Posting loan payments and transactions.
  • Processing wires and assisting with SBA reporting.
  • Filing and maintaining UCC documentation.
  • Monitoring construction loan documentation and inspection reporting.
  • Assisting with GL balancing and reconciliation of loan-related accounts.
  • Preparing payoff statements and processing payoffs.
  • Processing escrow disbursements for taxes and insurance.
  • Managing incoming documentation and exception tracking.
  • Supporting vendor invoice processing and payment coordination.

Performance Objectives & Goals

  • Support the development and maintenance of strong quality control processes within Loan Operations.
  • Ensure high accuracy in loan documentation, booking, servicing, and reporting functions.
  • Assist in maintaining compliance with all regulatory and internal policy requirements.
  • Promote efficient workflows and timely completion of all loan operational tasks

Additional Responsibilities

  • Perform other duties as assigned.
  • Assist Loan Operations Manager and team members as needed.
  • Provide backup support across Loan Operation functions.
