Executive Assistant / Accounting Specialist
We are looking to hire an Executive Assistant with strong QuickBooks experience to support our growing IT services company. This role will assist with accounting, billing, administrative tasks, client communication, reporting, and general executive support. MSP or IT services experience is a plus, but not required.
The ideal candidate is organized, detail-oriented, proactive, and comfortable working in a fast-paced environment. This person must be able to manage multiple priorities, follow through on tasks, and work closely with leadership, clients, vendors, and internal team members.
Key Responsibilities:
- Manage accounting-related tasks in QuickBooks Online
- Assist with invoicing, billing, payment tracking, and account reconciliation
- Support accounts receivable and accounts payable processes
- Help maintain accurate client, vendor, and financial records
- Assist with executive administrative tasks and follow-ups
- Prepare reports, spreadsheets, and basic financial summaries
- Communicate with clients and vendors as needed
- Assist with software/license tracking and recurring billing updates
- Help organize internal processes, documentation, and reminders
- Coordinate with internal teams to make sure tasks are completed on time
- Support general office and operational needs as assigned
Requirements:
- Strong experience with QuickBooks Online
- Strong administrative and organizational skills
- Proficient with Microsoft Office, Excel, Outlook, and general business tools
- Strong attention to detail and accuracy
- Ability to handle confidential information professionally
- Ability to multitask and follow through without constant supervision
- Comfortable communicating with clients, vendors, and internal team members
- Must be reliable, professional, and proactive
- MSP, IT services, or recurring billing experience is a plus
- Experience with ConnectWise, Microsoft 365, or similar business systems is a plus
Qualifications:
- 3+ years of experience in an executive assistant, accounting assistant, billing, bookkeeping, or administrative role
- Strong QuickBooks Online experience required
- Experience supporting executives or business owners preferred
- Prior experience in an MSP, technology company, or service-based business is a plus
Work Location:
- Onsite in Doral, Florida
Schedule:
- Full-time position
- Monday through Friday 9am-5:30pm EST
