HVAC Service Dispatcher

Commercial HVAC subcontractor seeking a Service Dispatcher to coordinate service calls, manages technician schedules, and ensures efficient, timely delivery of HVAC services while maintaining strong customer communication.

Key Responsibilities

• Scheduling and Dispatching: Assigning service calls to technicians based on skill set, location, and availability, ensuring timely and efficient service delivery
• Customer Interaction: Answering incoming calls, understanding customer needs, providing accurate arrival times, handling rescheduling, and managing emergency requests
• Technician Coordination: Tracking technician locations, updating them on job details, and adjusting schedules in real-time to prevent delays
• Administrative Tasks: Maintaining service records, invoicing, billing, and updating job-tracking systems or software. Processing service-related payables and collections
• Problem Solving: Handling last-minute cancellations, urgent service requests, and scheduling conflicts without disrupting operations. Working with Service Manager to troubleshoot any dispatch issues

Required Skills and Qualifications

• Communication Skills: Clear and professional interaction with customers, Service Manager, and technicians, both over the phone and via digital communication tools
• Organizational and Multitasking Abilities: Managing multiple service calls, schedules, and administrative tasks simultaneously
• Technical Knowledge: Familiarity with HVAC terminology, systems, and technician capabilities to assign the right personnel to each job
• Problem-Solving and Calmness Under Pressure: Ability to remain composed during peak service times or emergencies
• Computer Proficiency: Experience with dispatch software, scheduling tools, and basic office applications. Experience with Great Plains a plus.

Pay: $20.00 - $23.00 per hour
