Title: Medical Office Assistant I
Reports to:
Doctors, Administrative Team Leader, Office Manager,
RESPONSIBILITIES:
- Check patients in & out
- Answer multi-line phone system and route calls appropriately
- Make appointments for new and follow-up patients
- Collect co-pays
- Distribute faxes
- Greet and assist walk-in patients
- Print demographic sheet and insurance information for each UDS sent
- Prepare encounter forms for next day
- Collect encounter forms and fax to New Bern at end of each day (or by 9am next day)
- Manage and respond to medical records requests
- Received new patient referrals, pull criminal background checks and prescription records and place on doctors desk for review prior to scheduling (within 24 hours of receipt of referral) BACKUP
- Send MD message to review faxes (i.e. MRI reports, requested records, etc.) when received PRIMARY
- Schedule patients for procedures or follow-up if needed
- Prior authorizations for medications PRIMARY
- Prepare and fax physician letters PRIMARY
- Scan documents PRIMARY
- Scan fluoroscopy pics PRIMARY
- Assist other team members as needed when time available
- Other duties as assigned by supervisor
- Conduct themselves in a professional and pleasant manner at all times and in all interactions with patients, staff, vendors and any others during their activities as a representative of the organization.
QUALIFICATIONS/SPECIFICATIONS
- Education: High school diploma or equivalent. Medical office assistant training or demonstrated knowledge, skills, abilities and experience to be able to perform job.
- Experience: One year work experience in a medical setting with interventional pain experience preferred, but not required
- Knowledge, Skills & Ability: Must be able to communicate effectively both orally and written. Computer knowledge. Ability to adapt and apply guidelines and procedures. Ability to set priorities, identify and resolve problems effectively and efficiently. Ability to work independently with minimum of supervision.
- Attitude: Exhibits a “Can Do” attitude and is willing to go above and beyond to help the patient, family member, or other clients. Exhibits a cooperative and courteous telephone manner. Maintains a friendly, cooperative, and courteous attitude despite competing demands.
- Client Satisfaction: Assists patients, family members or other clients with concern and empathy; respecting their confidentiality and privacy. Communicates with them in a courteous and respectful manner. Always tries to anticipate their needs. Answers and refers telephone calls or other inquiries to ensure accurate and timely communications are facilitated; identifies him/herself in a pleasant and positive manner and takes responsibility for helping the caller.
- Complexity: Possesses a high degree of flexibility and the ability to adapt quickly to changing demands. Able to multi-task and communicate effectively with a wide range of people under stressful conditions, both in person and on the telephone. Able to set priorities, identify and resolve problems effectively and efficiently.
- Other Contact: Constant contact with patients, general public and staff. Contact requires the ability to communicate in English, both written and verbal, and a cooperative and courteous attitude despite simultaneous tasks. Ability to establish and maintain effective working relationships with patients, medical staff and the public.
- Errors: Errors could result in service delays and patient dissatisfaction, so must work accurately.
- Confidentiality: May be exposed to confidential information whose disclosure would be contrary to the best interest of practice and professional ethics.
- Sensory Demands: Ability to maintain a cooperative and courteous attitude despite simultaneous demands. Requires manual coordination to operate medical equipment and instruments.
- Physical Demands: Requires full range of body motion, including handling and lifting patient, manual and finger dexterity, and eye coordination. Requires standing and walking for extensive periods of time. Occasionally lifts and carries items weighing up to 50 lbs.
- Working Conditions: Exposure to bodily fluids, toxic substances, ionizing radiation, medical preparations, and other conditions common to office environment.
