Job Overview

We are seeking a proactive and detail-oriented Administrative Assistants & Receptionists to join our dynamic team. In this vital role, you will support the daily operations of property management, ensuring seamless communication between tenants, vendors, and property owners. Duties

  • Assist in managing lease or rental agreements, ensuring all documentation is accurate, complete, and compliant with applicable laws such as Fair Housing regulations and Landlord-Tenant Law.
  • Support property leasing activities by coordinating showings, processing applications, and upselling available units or amenities to prospective tenants.
  • Maintain detailed records using property management software such as Yardi or OneSite, including data entry, filing, and updating tenant information.
  • Handle customer service inquiries via phone and email with professionalism and courtesy, addressing concerns related to property maintenance, rent payments, or lease terms.
  • Coordinate property maintenance requests and facilities management tasks using CMMS (Computerized Maintenance Management System) to ensure timely repairs and upkeep.
  • Assist with legal administrative tasks related to Section 8 housing programs, LIHTC (Low-Income Housing Tax Credit), and other affordable housing initiatives.
  • Support conflict management efforts by mediating tenant disputes professionally while adhering to legal guidelines and company policies.
  • Contribute to the administration of contracts with vendors and service providers, ensuring compliance with legal standards and quality expectations.

Experience

  • Prior experience in property management or real estate administrative roles is highly preferred.
  • Familiarity with property management software such as Appfolio or OneSite is essential for efficient record keeping and reporting.
  • Knowledge of landlord-tenant law, Fair Housing regulations, Section 8 programs, LIHTC, and lease management processes is required to ensure compliance.
  • Demonstrated experience in customer service roles with excellent phone etiquette and conflict resolution skills.
  • Background in facilities management or property maintenance coordination is a plus.
  • Administrative experience involving data entry, filing, contracts management, and office procedures will support success in this role.
  • Strong negotiation skills and the ability to upsell amenities or services contribute to tenant satisfaction and retention.
  • Assist residents with packages, questions and misc daily issues.

Pay: $18.00 - $23.00 per hour
