About the Role:

PitchBook’s Commercial organization is a key driver of our growth—fueling both new client acquisition and long-term account success. From initial outreach to product demonstrations and deal closure led by our New Business team, and the ongoing relationship management provided by our Account Managers, each team plays a vital role. Together, they form a collaborative and high-impact organization that helps shape PitchBook’s market presence and deliver meaningful value to our clients.

The Administrative Assistant provides support to the Chief Revenue Officer, in addition to key senior personnel across the Commercial department. You must be a determined, focused, and flexible person who takes initiative and possesses a high level of attention to detail. Clear communication will be critical, as you'll be responsible for multiple tasks running concurrently. You should have a demonstrated track record of organizational excellence and adapting to urgent, unforeseen priorities as need be.

Primary Job Responsibilities:

Effectively partner with department head to help maximize their daily effectiveness

Demonstrate effective, dynamic, and mindful calendar management. This requires interaction with both internal and external stakeholders to coordinate a variety of meetings across various time zones

Learn and manage the executive’s preferred system for prioritizing, organizing, and replying to emails and other communications

Prioritize and decide what meetings need to take place, when, for how long, with which attendees and with what prep materials

Complete thorough notetaking in team meetings, including a summary of follow-up action items, and distribute notes to appropriate stakeholders in a timely manner

Maintains the strictest confidence with sensitive matters, including preparing and reviewing documentation when dealing with confidential information

Oversee frequent travel arrangements for department head by completing itineraries, expense reports, and coordinating transportation and lodging as needed

Collaborate with team managers to better understand and relieve bottlenecks across department

Support and collaborate on planning of all-up events including All Hands, offsite strategic planning meetings, company events, and other activities as needed

Support department projects of all sizes in coordination with the Commercial Business Operations team and ensure deadlines are being met

Gather and prepare presentations for company-wide meetings as needed

Work collaboratively with other administrative assistants within the organization to provide comprehensive executive support

Support the vision and values of the company through role modeling and encouraging desired behaviors

Participate in various company initiatives and projects as requested

Skills and Qualifications:

Bachelor’s degree and 1+ year of corporate working experience or 2+ years of professional administrative experience

Effective written and verbal communication skills

Thinks creatively and independently to tackle challenges, solve problems, and get results

Desire to take on challenges

Ability to balance the big picture with attention to detail

Ability to react with appropriate urgency to situations and requests

Strong cross-team collaboration and organizational skills

Strong attention to detail and problem-solving skills

Proficiency with the Microsoft Office suite including in-depth knowledge of Outlook, Word, and Excel with the ability to pick up new systems and software easily

Must be authorized to work in the United States without the need for visa sponsorship now or in the future
