Overview

We are seeking a dedicated and detail-oriented Office Assistant to join our team. The ideal candidate will possess strong organizational skills and a proactive approach to administrative tasks. This role is essential in ensuring the smooth operation of our office environment, providing support to staff and clients alike. The Office Assistant will be responsible for various clerical duties, customer service interactions, and maintaining an organized workspace. Initial pay could be higher based on experience and ability to learn tasks quickly. This opening position could lead to the Office Manager position with higher pay and monthly bonus opportunities for the right person.

Responsibilities

  • Manage front desk operations, greeting visitors and handling inquiries with professionalism.
  • Operate multi-line phone systems, ensuring effective communication with clients and team members.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Assist with filing and organizing documents to ensure easy retrieval of information.
  • Provide customer support by addressing client needs and resolving issues promptly.
  • Utilize Microsoft Office and Google Workspace for document creation, scheduling, and communication.
  • Maintain calendar management for scheduling appointments and meetings.
  • Proofread documents for accuracy and clarity before distribution.
  • Support bookkeeping tasks as needed, including basic financial record keeping using QuickBooks.
  • Collaborate with team members on various office management projects to enhance efficiency.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong computer literacy with the ability to learn new software quickly.
  • Excellent organizational skills with attention to detail in all tasks performed.
  • Effective typing skills for data entry and documentation purposes.
  • Strong phone etiquette and customer service skills to provide a positive experience for clients.
  • Bilingual abilities are a plus, enhancing communication with diverse clientele.
  • Previous experience as a dental receptionist or medical receptionist is advantageous but not required.
  • Familiarity with multi-line phone systems and office management practices is preferred.
