Office Manager – Interventional Pain Management (High-Volume Practice)

Position Summary

The Office Manager for a high-volume interventional pain management practice is responsible for leading daily operations, optimizing patient throughput, and overseeing a complex revenue cycle driven by procedural services. This role requires strong leadership, deep expertise in interventional pain billing, and the ability to manage fast-paced clinical and procedural workflows while maximizing reimbursement and minimizing denials.

Key Responsibilities

High-Volume Operations Management

  • Oversee daily clinic and procedure schedule (high patient volume, rapid turnover)
  • Coordinate provider schedules, procedure blocks, and room utilization
  • Optimize patient flow from check-in through discharge
  • Reduce wait times while maintaining quality of care
  • Ensure adequate staffing levels to support clinic and procedure days

Interventional Procedure Coordination

  • Manage scheduling and logistics for procedures such as:
  • Epidural steroid injections
  • Facet joint injections
  • Radiofrequency ablation (RFA)
  • Spinal cord stimulator (SCS) trials and implants
  • Ensure all required documentation, imaging, and clearances are completed prior to procedures
  • Oversee prior authorizations and medical necessity documentation

Medical Billing & Revenue Cycle Oversight

  • Supervise end-to-end revenue cycle for high-dollar procedural billing
  • Ensure accurate coding for interventional procedures (CPT, ICD-10, HCPCS)
  • Monitor and improve:
  • Charge capture accuracy
  • First-pass claim acceptance rate
  • Days in A/R
  • Denial rates and appeals success
  • Oversee billing for both professional and facility fees (if applicable)
  • Ensure correct use of modifiers (e.g., 26, TC, 50, 59, RT/LT)
  • Manage payer-specific requirements for interventional pain procedures
  • Work closely with billing team to resolve complex claims and audits

Financial & Performance Management

  • Track key performance indicators (KPIs), including:
  • Daily patient volume
  • Procedures per day
  • Revenue per provider
  • Collection rates
  • Generate and review financial and operational reports
  • Identify inefficiencies and implement workflow improvements to increase profitability

Team Leadership & Development

  • Supervise front office, billing staff, medical assistants, and procedure coordinators
  • Train staff on workflow efficiency, compliance, and patient experience
  • Conduct performance evaluations and manage staffing schedules
  • Foster a culture of accountability, speed, and accuracy

Compliance & Risk Management

  • Ensure compliance with HIPAA, OSHA, and payer guidelines
  • Maintain documentation standards for audits (especially Medicare and commercial payers)
  • Stay current on pain management regulations and reimbursement changes
  • Monitor for fraud, waste, and abuse risks

Patient Experience

  • Ensure a smooth, efficient, and professional patient experience despite high volume
  • Address patient concerns related to procedures, billing, and scheduling
  • Maintain clear communication regarding financial responsibility and expectations

Qualifications

Education & Experience

  • Bachelor’s degree in Healthcare Administration, Business, or related field (preferred)
  • 5+ years of experience in a medical practice, with interventional pain management strongly preferred
  • 3+ years in a leadership or office manager role
  • Proven experience managing high-volume clinics or procedure-driven practices

Technical Expertise

  • Advanced knowledge of:
  • Interventional pain CPT coding (e.g., injections, RFA, SCS)
  • ICD-10 diagnosis coding for chronic pain conditions
  • Modifier usage and payer-specific billing rules
  • Experience with prior authorizations for complex procedures
  • Strong understanding of both in-office and ASC (Ambulatory Surgery Center) billing workflows
  • Proficiency in EHR/EMR systems and billing software

Preferred Qualifications

  • Certified Professional Coder (CPC) or equivalent certification
  • Experience with spinal cord stimulator workflows and implant billing
  • Familiarity with Medicare Local Coverage Determinations (LCDs) for pain procedures
  • Experience managing multi-provider or multi-location practices
