Office Manager – Nightlife & Entertainment
Position Overview
We are seeking a highly organized, proactive, and detail-oriented Office Manager to support the daily operations of our nightlife and entertainment venue. Monday through Friday and at times Saturdays & Sundays. The Office Manager is responsible for ensuring the smooth and efficient operation of the nightclub's administrative functions while providing support to management, staff, vendors, and guests.
This role requires exceptional organizational skills, professionalism, and the ability to multitask in a fast-paced environment. The ideal candidate thrives under pressure, enjoys problem-solving, and has experience in office administration, hospitality, nightlife, or entertainment.
Key ResponsibilitiesAdministrative Management
- Oversee daily office operations and administrative functions
- Maintain office supplies, equipment, and inventory
- Manage correspondence including emails, phone calls, and mail
- Prepare, organize, and maintain reports, documents, and presentations
- Handle general office paperwork and filing systems
- Support management with scheduling and administrative projects
Reservations & Guest Services
- Manage VIP table reservations and booking requests
- Oversee reservation systems and guest communications
- Respond promptly to customer inquiries via email and phone
- Assist with guest relations and customer service concerns
Financial Management
- Assist with budgeting, financial reporting, and expense tracking
- Process invoices, vendor payments, and account reconciliations
- Support payroll processing and employee benefits administration
- Maintain financial records and documentation
Human Resources Support
- Maintain employee files and HR documentation
- Assist with recruiting, interviewing, onboarding, and training
- Coordinate employee paperwork and compliance requirements
- Address employee questions and assist with workplace issue resolution
Online Sales, Leads & Marketing Support
- Manage online inquiries and sales leads
- Track reservation conversions and customer databases
- Conduct research for promotions, partnerships, and special events
- Assist with social media coordination and promotional campaigns
- Support marketing initiatives and community outreach efforts
Event & Operations Support
- Assist in planning and organizing special events, VIP experiences, and promotions
- Coordinate with vendors, performers, and event partners
- Provide operational support during special events as needed
- Support front-of-house operations during peak business periods
Technology & Systems Management
- Maintain office technology, software, and equipment
- Manage reservation and booking systems
- Coordinate with vendors and service providers for technical support
- Help maintain security and operational systems
Qualifications/ Preferred Experience
- Experience in Business Administration, Management, Hospitality, Nightlife, Entertainment, or a related field preferred
- Minimum 1 year of office management, administrative, hospitality, or entertainment industry experience
Skills & Abilities
- Excellent organizational and multitasking skills
- Strong written and verbal communication abilities
- Professional customer service skills
- Proficiency in Google Suite. (Social Media)
- Familiarity with office management and reservation software
- Basic understanding of accounting and financial management practices
- Ability to work independently and prioritize tasks effectively
- Strong attention to detail and follow-through
- Ability to maintain confidentiality and discretion
Physical Requirements
- Ability to work in a nightclub and entertainment environment
- Ability to occasionally lift and move office supplies and equipment up to 20 pounds
- Comfortable working in a fast-paced, high-energy atmosphere
