Job Overview

We are seeking a friendly, professional, and highly organized Temporary Receptionist / HR Administrative Assistant to support our team while a valued team member is on leave. This is a temporary role that will be available as of July 27, 2026 and will continue through approximately the end of the year (with the possibility of ending a few weeks earlier or later based on business needs). As the first point of contact for visitors, customers, vendors, and callers, this role plays an important part in creating a positive experience that reflects our strong company culture. In addition, as a member of the HR team, this role supports various administrative tasks to support the HR department and other company functions.

This position operates on a schedule from Monday through Friday, from 7:00 am to 3:30 pm.

Responsibilities

  • Serve as the first point of contact for callers and visitors, providing a warm, professional experience while directing inquiries and maintaining front office operations.
  • Welcome guests, manage visitor sign-in procedures, issue badges in accordance with company security requirements, and coordinate visitor arrivals with internal team members.
  • Open and secure the front office daily and assist with maintaining a clean, organized, and professional office environment.
  • Manage office supply inventory, place orders, stock supply areas, and distribute materials to team members as needed.
  • Scan, upload, and organize electronic files and documentation within company document management systems.
  • Support attendance and payroll exceptions by reviewing exceptions, maintaining records, communicating with team members and leaders, and assisting with schedule updates.
  • Review and reconcile daily workforce data and reports, identify discrepancies, and communicate corrective actions when necessary.
  • Track and communicate team member anniversaries, birthdays, and other employee recognition milestones.
  • Coordinate company apparel orders, maintain order records, communicate with vendors, and distribute items to team members.
  • Perform other administrative and HR support duties as assigned.

Skills

  • Minimum one (1) year of administrative support experience, including answering and directing multi-line phone calls in a professional office environment.
  • Customer service skills, people smarts, a consistently positive attitude, ability to build positive working relationships.
  • Verbal, written, and interpersonal communication skills.
  • Ability to communicate effectively and professionally to all levels of an organization.
  • Understands having a sense of urgency, ability to manage time effectively and multi-task, meets deadlines.
  • Ability to take initiative, seeks out answers and solutions, sees tasks through to completion.
  • Attention to detail, attention to accuracy in work tasks, organizational skills.
  • Uses best judgement in decisions regarding processes and problem solving.
  • Microsoft Office skills (Word, Excel, Outlook, PowerPoint), knowledge of using computers, copiers, etc., typing skills.
  • Ability to follow work instructions, procedures and processes.
