Position Summary

The Events Administrative Assistant supports the Community Events and Management teams by performing administrative duties, coordinating vendor communications, and assisting with entry-level event planning and execution. The ideal candidate is organized, detail-oriented, and friendly, with the ability to multitask, prioritize responsibilities, and meet deadlines in a fast-paced environment. Excellent customer service and problem-solving skills are essential. This position requires weekend availability to support community events.

Essential Job Functions

  • Communicate with and track event vendors.
  • Scout and recruit new vendors.
  • Assist with sponsorship outreach and tracking.
  • Respond to social media inquiries and messages.
  • Assist with event setup, execution, and breakdown.
  • Perform general office duties, including answering phones, printing, ordering office supplies, and maintaining an organized and professional office environment.
  • Provide administrative support to the Events and Management teams as needed.

Minimum Qualifications

  • High school diploma or equivalent required.
  • One year of administrative or event coordination experience preferred.
  • Valid California driver's license.
  • Bilingual in English and Spanish (preferred).
  • Ability to work independently while contributing effectively as part of a team.

Physical Requirements

  • Ability to sit and work at a computer for extended periods.
  • Ability to stand and walk for prolonged periods during events.
  • Ability to lift and carry up to 30 pounds.
  • Availability to work Mondays, Tuesdays, Fridays, Saturdays, and Sundays, including occasional evenings

  • Excellent organizational and time management skills.
  • Strong interpersonal and customer service skills.
  • Professional verbal and written communication skills.
  • Strong proofreading and attention to detail.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Self-motivated with the ability to work independently with minimal supervision.
  • Proficiency in Microsoft Word, Excel, Adobe Acrobat, email marketing platforms, PayPal, and social media platforms.
  • Experience with Adobe Photoshop or Canva is a plus.
  • Interest in community events, hospitality, or event management is preferred.

Pay: $20.00 - $22.00 per hour

Work Location: In person
