We’re a growing, well-regarded product sales and service company in the greater Portland area seeking a reliable Accounting & Admin Assistant to join our service team. This role supports employees and customers by processing AP, billing work orders, managing warranty claims, parts ordering, and customer communications. Great opportunity for someone organized, customer-focused, flexible, and comfortable with basic accounting tasks.

Key Responsibilities

  • Utilize industry specific ERP system for day-to-day accounting operations
  • Process AP for inventory vendors, matching to PO, investigating discrepancies
  • Enter and allocate general expenses across multiple locations & departments
  • Invoice large sales orders upon delivery
  • Audit and process billing for Service work orders
  • Collect payment and communicate with service customers to resolve AR issues
  • Compile timesheet data for Service technicians for payroll & analysis
  • Order parts provide ETA for Service Department
  • Submit warranty claims and RGAs
  • Provide customer service & phone support
  • Collaborate with management to improve processes
  • Assist Accounting Manager with other projects and administrative tasks

Qualifications

  • 1+ years basic accounting experience preferred
  • 2+ years customer service experience preferred
  • Excellent verbal & written communication and phone etiquette
  • Proficient with Microsoft Word, Excel, and web browsers; strong typing skills
  • Strong organizational skills, attention to detail, and time-management
  • Flexible, professional attitude; dependable and self-motivated
  • Willingness to learn technical aspects of the business
  • Experience with Evosus or ERP system, a plus
  • Associate degree preferred but not required

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times

What We Offer

  • Full-time schedule: Monday–Friday, 8:00 AM–5:00 PM
  • Pay: $22.00–$27.00/hour (commensurate with experience)
