Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to provide support to the CEO and Executive Assistant while assisting with a variety of administrative and human resources functions. This position plays a key role in ensuring the smooth day-to-day operation of the office and supporting company leadership.
This position will provide support to both the CEO and Executive Assistant and may occasionally assist with personal administrative matters for the CEO, including scheduling, travel coordination, bill payment, vendor communications, and special projects. The ability to handle confidential information with professionalism and discretion is essential.
Essential Duties & Responsibilities
Administrative Support
- Provide day-to-day administrative support to the CEO and Executive Assistant
- Manage calendars, appointments, and meeting scheduling
- Print, scan, file, and organize company documents
- Assist with bill pay and vendor correspondence
- Prepare reports, spreadsheets, and presentations
- Set follow-up reminders for important emails and projects
- Order office supplies and maintain inventory
- Maintain organized electronic and physical filing systems
- Coordinate meetings, take notes, and distribute follow-up items
- Assist with special projects and other duties as assigned
- Serve as a point of contact for visitors, vendors, and customers
Human Resources Support
- Schedule interviews and coordinate candidate communications
- Assist with new hire onboarding and orientation
- Prepare onboarding paperwork and maintain employee records
- Assist with recruiting activities and job postings
- Track employee training and required documentation
- Support benefits administration and employee communications
- Assist with HR projects, compliance documentation, and policy updates
- Maintain confidentiality of employee and company information
Qualifications
- Previous administrative assistant, office assistant, HR assistant, or related experience preferred
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Proficiency with Microsoft Office Suite
- Ability to manage multiple tasks and meet deadlines
- High attention to detail and accuracy
- Professional demeanor and strong customer service skills
- Ability to maintain confidentiality and exercise discretion

Reports To: CEO, EA to CEO
Schedule: Full-Time, Monday–Friday
Location: On-Site
Pay: $20.00 - $23.00 per hour
