Position Summary
The Senior Bookkeeper / Payroll Specialist is a critical contributor to our client service team, responsible for managing recurring bookkeeping and payroll functions with minimal supervision. This is an in-office role for a seasoned professional who thrives on structure, takes pride in clean financials, and enjoys being part of a detail-driven, high-integrity team. You thrive working independently and collaboratively and bring positive energy to your work.
You'll manage multiple client accounts, perform monthly closes, handle payroll filings, and ensure financials are always ready for review. You'll follow our systems, suggest improvements where needed, and maintain organized records that clients can rely on.
This is not a remote position. Local, in-office availability in Chesterfield, VA, is required.
Have 3+ years of experience in small business bookkeeping and payroll
Are an expert with QuickBooks Online and comfortable managing multiple client accounts
Process payroll and related tax filings (941, 940, W-2, etc.) with confidence and accuracy
Understand sales and use tax filings and state compliance
Thrive in structured environments with clear systems and expectations
Follow established processes while identifying opportunities to streamline and improve
Communicate professionally, solve problems proactively, and honor deadlines
Are independent and self-managed, but also a respectful and collaborative team player
Protect confidentiality and do things right the first time
Key Responsibilities
Perform monthly bookkeeping in QuickBooks Online for multiple small business clients. Reconcile bank and credit card accounts and ensure clean monthly closes
Categorize transactions with clarity and consistency
Payroll & Compliance:
Process payroll and file related payroll tax returns (Forms 941, 940, W-2, etc.) Prepare and file sales and use tax returns (monthly/quarterly)
Maintain compliance with tax deadlines and reporting standards
Systems & Communication:
Organize client files in Financial Cents and ShareFile according to internal protocols
Communicate professionally with team members regarding missing or unclear information
Follow established SOPs while suggesting improvements when needed
Qualifications
3+ years of professional experience in bookkeeping and payroll
Expertise with QuickBooks Online Familiarity with payroll software like Gusto or QBO Payroll
Strong understanding of payroll tax forms and compliance
Comfortable managing multiple client files and meeting deadlines
Organized and consistent in file management and communication
Able to work independently and follow instructions without constant oversight
Bonus Skills (Not Required)
Experience with Drake Tax, Financial Cents, or ShareFile
Prior work in an accounting or bookkeeping firm
Bookkeeping certification or accounting coursework
Clients consistently receive accurate, timely books without rework
Payroll and tax filings are submitted on time and without reminders
Files are clean, current, and easy for team members and tax pros to follow
You are trusted to manage your own workload independently
The firm owner has fewer bottlenecks and greater peace of mind
