Compensation: $77,500 - $82,500 Annually

The Executive Assistant at Food Bank of the Rockies provides high-level, strategic support to the CEO in a fast-paced, mission-driven environment. This role encompasses a wide range of responsibilities—from coordinating complex schedules and managing board relations to drafting executive communications and supporting strategic plan execution. The ideal candidate operates with a high degree of autonomy, exercising sound judgment, initiative, and discretion while serving as a trusted partner to the CEO.

Primary Responsibilities
Works in partnership with Chief of Staff in support of CEO, other leadership team members, and in alignment with Food Bank of the Rockies’ mission and strategic objectives
Manage the CEO's calendar, travel, meetings, and communications to ensure strategic alignment with organizational priorities
Provide support to fellow Executive Assistants by directing the overall support strategy, overseeing calendar management, and ensuring effective administrative support across the organization.
Serve as the primary liaison to the Board of Directors (Food Bank of the Rockies, Food Bank of Wyoming, Endowment), including coordination of all meetings, recordkeeping, onboarding, and communications
Serve as primary liaison to Feeding America including managing regular communications and surveys, coordinating compliance with member agreement, and tracking deadlines.
Prepare and maintain accurate board records, meeting minutes, and board materials, ensuring timely dissemination and compliance with bylaws
Support donor stewardship by logging correspondence into Raiser’s Edge and assisting with donor follow-up
Organize and staff executive-level meetings (internal and external), including logistics such as agendas, meeting implementation, meals, AV setup, room reservations, and materials
Draft, proofread, and edit communications, presentations, and reports in the CEO's voice
Anticipate CEO needs and proactively manage special projects and follow-up items
Maintain a strong working knowledge of the organization’s daily operations, team members, and key stakeholders
Close involvement with the Chief of Staff on the implementation of the Strategic Plan
Ensure effective follow-up on all CEO-related matters and represent the CEO in internal and external interactions as needed
Handle confidential information with discretion and care, ensuring the privacy and respect of employees, volunteers, partners, donors, or others
Required Knowledge, Skills, And Abilities
Executive Support & Judgment
High-level experience supporting CEOs or C-suite executives with discretion and sound judgment
Strong ability to anticipate needs, manage competing priorities, and ensure smooth operations and communications
Proactive and strategic in aligning CEO's time and activities with mission-critical priorities
Communication & Interpersonal Skills
Excellent verbal and written communication skills, tailored to a wide variety of stakeholders
High emotional intelligence and ability to handle sensitive or confidential matters with tact and professionalism
Skilled in representing the CEO and the organization in high-stakes situations
