Position Overview:
The Front Desk Administrator will be responsible for greeting clients, managing incoming calls, and performing various administrative tasks. You will play a key role in ensuring the smooth operation of our office and providing excellent customer service to both clients and staff.
Key Responsibilities:
- Welcome and greet clients, visitors, and vendors, ensuring a positive experience
- Answer and direct phone calls, take messages, and handle general inquiries from the info email
- Manage the front desk area, ensuring it is neat, organized, and stocked with necessary supplies
- Assist with scheduling meetings, managing calendars, and coordinating conference room bookings
- Maintain office security by following safety procedures
- Receive and deliver daily mail and packages
- Coordinate & mail packages via USPS, UPS and courier services
- Assist with administrative tasks such as data entry and provide occasional backup to facilities
- Help coordinate office events and team activities
- Schedule and coordinate CEU Lunch & Learn presentations for the firm
- Ordering food for inhouse meetings
- Keep the Front Desk Manual up to date
The hourly wage range for this position is $22 to $25 per hour depending on experience.
Requirements
Qualifications:
- High school diploma or equivalent required; an Associate’s or Bachelor’s degree is a plus
- Previous experience in a front desk, receptionist, or administrative role is preferred
- Strong communication and interpersonal skills
- Ability to handle multiple tasks and prioritize in a fast-paced environment
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Experience working in an architecture, design, or construction firm is a plus, but not required
- Professional appearance and demeanor
- Strong organizational skills and attention to detail
