The Accounting and Administrative Assistant reports to the CFO and assists the CEO with support duties.
Reconciles processed work by verifying entries and comparing system reports to balances. Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries. Pays vendors by monitoring discount opportunities; verifying federal id numbers; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments. Pays employees by receiving and verifying expense reports and requests for advances; preparing checks. Maintains accounting ledgers by verifying and posting account transactions.
- Verifies vendor accounts by reconciling monthly statements and related transactions. Disburses petty cash by recording entry; verifying documentation. Continues to update WhosWho Outlook database.
- Maintains 3rd party software database (GeoMedia, Gebco, FME) Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- Compliance with ISO and other audit requirements by ensuring operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Also maintaining following database:
- a. Purchase Order database; b. Preferred Vendor database; c. Travel Report database; d. Deliverable database. Assists as needed Cable Division personnel on newly created Makai Software Database. Ensuring that the office environment is supportive of the company’s primary business.
- Manages safety facility at the company headquarters. Manager housekeeping tasks, monitor inventory of all office consumables Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Contributes to team effort by accomplishing related results needed.
Pay: $25.27 - $30.43 per hour
