The TBA Front Office Administrator & Receptionist duties include:

Operations Assistant Duties:

  • Direct incoming telephone calls to the appropriate person/department as determined
  • Provide customer service to TBA members and walk-in clients
  • Maintain accurate member records in the TBA database
  • Coordinate daily mailings, member mailings and maintenance of mailing lists
  • Schedule and coordinate TBA meetings, events and activities
  • Prepare facilities for meetings, keep calendars and message boards updated for events
  • Work with committee chairs to create and distribute meeting agendas and sign-in sheets
  • Send meeting notices and event confirmations
  • Manage office machines and serve as liaison to service providers
  • Manage inventory of office supplies and order as necessary
  • Sell legal directories

Bar Admissions Duties:

  • Track bar admission application files; prepare and transmit bar admission application files to teams of committee members for interviews; transmit files and reports to the Admissions Office at the Supreme Court of Ohio
  • Coordinate Bar Admissions Character and Fitness interviews
  • Prepare correspondence and information from the TBA to be sent to candidates who successfully pass the bar exam
  • Assist the committee chair as required

Committee Duties:

  • Coordinate scheduling and provide administrative support for Association committees.
  • Prepare committee correspondence, maintain committee rosters, and assist committee chairs with ongoing administrative needs.
  • Maintain committee records and support volunteer engagement throughout the year.

Other duties may be assigned by the executive director or designee

Work Experience:

  • Served in a role as a receptionist with front line greeting responsibilities
  • Served in a program administration role
  • Highly functioning in the use of Microsoft Office Suite programs
  • Experience in the use of databases and data entry
  • Demonstrated ability to provide excellent customer service
  • Background working with legal professionals a plus

Education:

  • High School Diploma
  • Associates degree a plus

Job Type: Full-time

Pay: $38,000.00 - $45,000.00 per year
