Weekend Experience Administrative Assistant
The Weekend Experience Administrative Assistant supports the team by organizing and coordinating the
behind-the-scenes details that help our weekend services and ministries run smoothly.
Supervisor: Executive Director of Weekend Experience
Hours: Part time – 20 hours/week
FLSA Status: Hourly Employee, Non-Exempt
Summary:
The position of Weekend Experience Administrative Assistant at Pathway Community Church (PCC) is responsible for supporting the planning, organization, and facilitation of various ministry events, volunteer care, and operational tasks within the Weekend Experience department. This role requires excellent organizational skills, attention to detail, and a heart for serving our volunteers and the worship ministry. The incumbent will seek to use their personal gifts and skills for the benefit of the church by contributing to the overall effectiveness and efficiency of this department.

Essential Duties and Responsibilities:
Tasks are outlined by detailed work guidelines, policy, or supervision. Other duties may be assigned as deemed necessary by the supervisor. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Event Planning & Coordination:
- Plan, organize, and facilitate key ministry events such as the annual Friendsgiving, Team Nights, and send-off parties
- Reserve spaces for ministry events (e.g., Worship Nights, Donuts with Jadon) using eSpace
- Provide logistical support for team events and ministry gathering
Volunteer Support & Care:
- Establish and maintain a consistent volunteer onboarding process across the Worship and Tech Departments
- Identify the needs of Worship and Tech volunteers and coordinate care efforts (meal trains, moving assistance, hospital visits, etc.)
- Restock water bottles, mints, and cough drops for Worship and Tech volunteers
- Maintain and update volunteer records in church database as needed
Communication & Coordination:
- Send communications regarding upcoming events and meetings (e.g., all-staff meetings, team lunches, team meetings) to ensure the team is well-informed and prepared
- Coordinate with the team to help facilitate a smooth weekend experience for all volunteers
- Assist in ensuring a consistent flow of communication within the Worship Ministry and between departments
- Manage Media, Worship, Tech workflows and serve interests
- Document meeting discussions, decisions, and action items during planning meetings
Cross-Departmental Ministry Support:
- Provide support for other ministries outside of weekend services, ensuring worship and production needs are met
- Be available to cross-train for occasional coffee support on weekends as needed
First Impressions Support:
- Prepare and maintain volunteer onboarding materials, including creating and updating volunteer name badges and assembling welcome gift bags for new volunteers
Supervisory Responsibilities:
This job has no supervisory responsibilities.
Education and/or Experience:
High school diploma or equivalent required; Previous experience in ministry or volunteer coordination a plus.
