Senior Administrative Assistant (Direct Hire)

Location: Denver, CO 80202

Schedule: Monday–Friday, 8:00 AM–5:00 PM

Work Environment: Hybrid flexibility may be available in the future

Compensation: $60,000–$85,000 base salary+ 15% STI target

Reports To: Office & Workplace Manager

Supports: SVP, dCarbon Ventures

Position Summary

The Senior Administrative Assistant will provide high-level administrative support to the Senior Vice President of dCarbon Ventures in a fast-paced, dynamic environment. This role is responsible for managing complex calendars, coordinating high-volume travel, preparing expense reports, organizing meetings and events, and supporting day-to-day executive operations.

The ideal candidate is highly organized, proactive, detail-oriented, and capable of handling shifting priorities with professionalism and discretion. This position requires strong communication skills, excellent judgment, and the ability to anticipate executive needs while protecting time and maintaining confidentiality.

Key Responsibilities

Manage and maintain a high-volume executive calendar, balancing competing priorities and protecting executive time.

Coordinate complex domestic travel arrangements, including frequent last-minute changes to flights, hotels, and transportation.

Prepare, submit, and track executive expense reports and assist with invoice approvals.

Monitor and manage executive email communications, escalating high-priority and time-sensitive matters.

Schedule and coordinate internal and external meetings, including logistics, agendas, attendee communication, catering, and meeting materials.

Prepare presentations, documents, status updates, and briefing materials for meetings and projects.

Take meeting notes and follow up on action items as needed.

Organize and maintain confidential files, contracts, and documentation.

Coordinate team events, conferences, and offsite meetings approximately 2–4 times annually, including quarterly travel coordination.

Provide administrative support to additional senior leaders as needed.

Serve as backup front desk support and assist with office coverage during high-volume events and employee absences.

Partner with the administrative team to support travel coordination, invoicing, onsite office needs, and additional operational activities.

Collaborate with other office locations and support special projects and initiatives as assigned.

Required Qualifications

Minimum of 5 years of experience supporting senior executives in an Administrative Assistant or Executive Assistant capacity.

Strong experience managing complex calendars, travel coordination, and expense reporting.

Advanced proficiency in Microsoft Office Suite and other business-related applications.

Excellent organizational skills with strong attention to detail and prioritization abilities.

Ability to manage multiple time-sensitive tasks in a fast-paced environment.

Strong interpersonal, communication, and collaboration skills.

Ability to work independently while exercising sound judgment and discretion.

Demonstrated professionalism and ability to maintain confidentiality.

Ability to proactively identify opportunities to improve efficiency and support executive effectiveness.

High school diploma or GED required; Associate’s or Bachelor’s degree preferred.

Preferred Qualifications

Experience supporting executives within a publicly traded company environment.

Knowledge of CCUS industry standards, market trends, regulatory requirements, and related industry organizations is a plus.

Experience coordinating executive meetings, events, and multi-stakeholder projects.
