Position Description

Position Summary

Full-time position available on or after July 1, 2026 at the CSU Stanislaus-Stockton campus.

This position’s responsibilities are carried out under general supervision. The incumbent is responsible for coordinating the clerical and administrative support functions for the grant funded Wellness WORKs Program, a CalWORKs referral program. The incumbent performs complex administrative support duties of an operational and procedural nature in support of program operations, CalWORKs participant services, and program activities. Responsibilities include coordinating office workflow and operational activities, maintaining program records, tracking and compiling operational data, preparing reports and correspondence, and providing administrative support to Wellness WORKS! Instructors, participants, and community partners. The position exercises independent judgment in prioritizing work and resolving routine operational issues.

Job Duties

Duties include but are not limited to:

  • Coordinate clerical and administrative support functions for the department.
  • Establish and maintain office procedures and workflow processes in accordance with university and department guidelines.
  • Coordinate Wellness WORKS! session schedules and advisory board meetings and related documentation.
  • Coordinate logistics for events, operational activities, and department functions.
  • Process and monitor purchasing, procurement, travel, and reimbursement documentation.
  • Maintain operational calendars, schedules, and department deadlines.
  • Support department projects and operational activities through administrative coordination and follow-up.
  • Work with Wellness WORKS! participants, instructors, community partners, funding agency, vendors, and campus partners to assist with resolving routine administrative and operational issues.
  • Serve as an administrative contact for internal and external department constituents.
  • Troubleshoot routine office operational issues.
  • Maintain and monitor departmental budgets, financial records, and related administrative documentation.
  • Track expenditures and prepare recurring financial and operational status reports.
  • Maintain, gather, track, and compile departmental data related to Wellness WORKS! session enrollment, course materials, workload, events, budgets, and operational activities.
  • Maintain confidential personnel, participant, and department records and files.
  • Prepare reports, spreadsheets, charts, tables, correspondence, and other administrative documents.
  • Coordinate documentation related to audits, program reviews, and operational reporting processes.
  • Track Wellness WORKS! enrollments, schedule changes, and related departmental records.
  • Review administrative and financial documentation for completeness, accuracy, and compliance with established procedures.
  • Use office support technology and systems such as word processing, spreadsheets, databases, and desktop publishing software to produce documents and reports.
  • Serve as a primary administrative contact for Wellness WORKS! participants, instructors, and community partners.
  • Provide administrative coordination and support for Wellness WORKS! operational activities.
  • Maintain program documentation, files, and related department records.
  • Prepare correspondence and official department communications.
  • Provide administrative support to committees, meetings, and department activities.
  • Coordinate dissemination of procedural and operational updates.
  • Resolve routine operational and procedural matters in accordance with established guidelines.
  • Support outreach, special events, and program-related activities.
  • May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.
  • At the direction of appropriate administrator, may provide support to other areas as needed.

Minimum Qualifications

Education: Completions of a high school program, technical/vocational program, or their equivalents.

Experience: Several years of related office work experience.

Preferred Qualifications

  • Two (2) years of related experience in administrative support or grant-funded program setting.
  • Bachelor’s degree in social work, Education, Public Health.
  • Prior experience in a CSU or higher education setting.
