Job Overview

State Wide Specialty Care is a growing multi-specialty medical practice specializing in California Workers’ Compensation and Personal Injury care. We are seeking a highly organized, dependable, and motivated individual with Workers’ Compensation and Conexem experience to join our team.

This position will initially begin one day per week in our office and is expected to rapidly expand to multiple days per week within approximately 60 days as patient volume increases. The right candidate will have a clear path toward becoming the office’s dedicated Office Manager as the practice continues to grow.

We are looking for someone who can take ownership of scheduling, patient communication, referral coordination, and daily office operations while helping us provide exceptional service to injured workers, attorneys, and referral sources.

Responsibilities

  • Schedule new and follow-up patient appointments
  • Manage incoming phone calls and patient inquiries
  • Reschedule missed or cancelled appointments
  • Coordinate referrals and specialty appointments
  • Utilize Conexem and other Workers’ Compensation portals
  • Verify claim information and patient demographics
  • Communicate with attorneys, adjusters, nurse case managers, and employers
  • Track patient treatment schedules and follow-up appointments
  • Confirm appointments and reduce no-show rates
  • Maintain accurate patient records and documentation
  • Assist with medical records requests and report distribution
  • Support providers and management with daily administrative tasks
  • Help develop office systems and workflows as the practice expands

Qualifications

Required

  • Previous Workers’ Compensation medical office experience
  • Experience using Conexem
  • Strong appointment scheduling and patient coordination skills
  • Excellent phone etiquette and communication skills
  • Ability to multitask in a fast-paced environment
  • Strong organizational and problem-solving abilities
  • Proficiency with Microsoft Office and general computer systems

Preferred:

  • Experience working with chiropractors, orthopedic practices, pain management, or multi-specialty medical offices
  • Knowledge of California Workers’ Compensation processes
  • Experience coordinating treatment authorizations and referrals
  • Previous supervisory or office management experience
