About the Company

Our client, a fast-growing AI company, is seeking a proactive Office Manager / Administrative Assistant to be the backbone of their office. You’ll make sure the space is stocked, organized, and welcoming, while supporting the Executive Assistant to the CEO with day-to-day tasks. This role is perfect for someone proactive, dependable, curious, and ready to learn in a fast-paced, fun, and team-oriented environment.

About the Role

**Please note this is a 8 week contract role based in Palo Alto, CA. Pay will be $35-$40/hr.**

Responsibilities

  • Ensure the office is clean, tidy, and presentable at all times
  • Keep common areas, conference rooms, and kitchens in top shape throughout the day
  • Order and restock supplies, snacks, and drinks; keep the fridge organized and well-stocked
  • Coordinate team lunches each Friday for the upcoming week, accommodating dietary needs and preferences
  • Greet and escort guests to the appropriate team members, creating a warm and professional first impression
  • Book conference rooms, prepare spaces for meetings, and ensure all necessary materials are ready
  • Assist the Executive Assistant to the CEO with administrative tasks
  • Support the team by helping wherever needed, whether that’s setting up a meeting space or organizing an event
  • Anticipate needs before they arise and find creative, efficient solutions to keep operations smooth

Qualifications

  • 1–3 years in office coordination, facilities management, or administrative support (or demonstrated ability to learn quickly)
  • Proven reliability — people can count on you to follow through
  • Highly proactive with strong organizational and multitasking skills
  • Friendly, approachable, and a team player who enjoys helping others succeed
  • Excellent communication and interpersonal skills
  • Comfortable working onsite full-time in a fast-paced environment
