Job Description

The Financial Administrative Assistant enhances the client experience by delivering exceptional service, supporting branch operations, and providing administrative and operational support to Financial Advisors.

This is an entry-level professional role with room for growth within the firm, ideal for candidates early in their careers. This role requires a strong understanding of firm policies, procedures, and digital capabilities to effectively support advisor teams and interact with both new and existing clients. The ideal candidate is organized, professional, detail-oriented, and capable of managing multiple responsibilities in a fast-paced office environment.

Duties and Responsibilities

Perform general administrative duties, including answering phones, preparing conference rooms, and organizing meeting materials

Prepare, print, and organize client meeting documents and internal reports

Support Financial Advisors by assisting with client relationship management and administrative tasks

Assist with account opening documentation and related paperwork

Maintain accurate client records and internal documentation

Help Financial Advisors stay on track toward monthly business goals

Participate in client account review meetings and face-to-face client service meetings as needed

Provide consistent, professional client service both in person and over the phone

Education, Experience, Knowledge, and SkillsEducation & Experience

Required: Four-year college degree in Finance, Marketing, Accounting, or Mathematics

Knowledge & Skills

Highly detail-oriented with strong organizational and time management skills

Exceptional written and verbal communication abilities

Strong interpersonal and client service skills

Proficient with Microsoft Office, including Word and spreadsheet applications

Ability to multitask, prioritize responsibilities, and meet deadlines

Comfortable working independently while contributing to a close-knit team

Adaptable and able to thrive in a fast-paced, evolving environment
