We’re looking for a detail-oriented Business Administrative Assistant to support our Business Manager and operations team. This role plays a key part in day-to-day financial and administrative activities, including invoicing, billing, inventory support, and general office operations.

What You’ll Do

Process invoices, billing, and accounts payable/receivable

Post weekly bank deposits and support order credit approvals

Submit customer and portal invoicing

Review statements, investigate discrepancies, and correct errors

Process purchase orders, warehouse transfers, and direct vendor billing

Audit inventory counts and reconcile discrepancies

Review and adjust inventory data, including non-stock items

Generate and distribute reports using Excel and internal systems

Serve as backup for customer order intake and order processing

Provide general office and administrative support

Assist with department oversight when the manager is unavailable

Perform other related duties as needed

What We’re Looking For

Strong working knowledge of accounting principles

Hands‑on experience with AP, AR, billing, and inventory/cycle counts

Comfortable working with data, reports, and spreadsheets

Moderate to strong Excel skills (required)

Strong attention to detail and high level of accuracy

Excellent communication and customer service skills

Ability to manage multiple priorities and meet deadlines

Self‑motivated, dependable, and team‑oriented

High integrity, strong work ethic, and reliable attendance

Qualifications

4+ years of experience in a business, accounting, or financial environment

Experience in product distribution or inventory systems is a plus

Work Environment & Physical Requirements

Indoor office environment with occasional exposure to warehouse conditions

Ability to occasionally lift up to 50 pounds

Regular use of hands, computer, and phone

Occasional standing, walking, stooping, kneeling, or crouching
