Position Title Director Executive Assistant (DIR EA)

Shift Monday - Friday, 4 hours a day, 9am - 1pm EST
Position Summary
The (Dir EA) Executive Assistant serves as a strategic administrative partner and force multiplier to the CEO and the Executive Leadership Team (ELT). This high-trust role provides executive-level support to the CEO, CHRO, COO, and COS, ensuring seamless operations, protecting leadership time, and driving key organizational priorities forward. The ideal candidate is proactive, highly organized, discreet, and capable of operating with minimal supervision in a fast-paced, mission-driven nonprofit environment.
Key Responsibilities
Executive Support to the CEO
- Manage the CEO’s complex calendar, priorities, and daily workflow with strategic foresight.
- Prepare briefing materials, talking points, presentations, and meeting agendas.
- Handle highly confidential and sensitive correspondence and projects.
- Serve as the primary gatekeeper for the CEO’s time and communications.
- Anticipate needs and proactively resolve issues before they escalate.
Support to the Executive Leadership Team (ELT)
- Provide high-level administrative and operational support to the CHRO, COO, and COS.
- Coordinate ELT meetings, strategy sessions, leadership retreats, and board activities.
- Track and follow up on action items, decisions, and deliverables across the ELT.
- Support cross-functional strategic initiatives led by executive leadership.
Calendar, Meeting & Project Management
- Maintain master calendars for the CEO and ELT with accuracy and efficiency.
- Prepare professional agendas and ensure timely distribution of pre-read materials.
- Capture detailed meeting notes and distribute action-oriented recaps.
- Lead or support special projects and strategic initiatives assigned by the CEO.
Communication & Correspondence
- Draft high-quality emails, memos, announcements, and reports on behalf of the CEO and ELT.
- Screen, prioritize, and respond to incoming requests professionally.
- Maintain consistent, professional executive-level communication standards.
Confidentiality & Compliance
- Maintain absolute confidentiality regarding all sensitive matters.
- Ensure compliance with organizational policies and procedures.
- Exercise sound judgment in all interactions and decision-making.
Qualifications & Requirements
Skills Exceptional organizational skills, advanced calendar management, strong writing and communication abilities, and high emotional intelligence.
Technical Proficiency Advanced Google Workspace (Gmail, Calendar, Docs, Sheets), project management tools, and ability to learn new systems quickly.
Attributes Highly proactive, discreet, solutions-oriented, and able to thrive in a remote, fast-paced environment.
Education Associate's Degree Preferred (or Equivalent Professional Experience).
