We have our outpatient neurology practice in San Jose, and we're looking for an experienced Front Office Receptionist / Medical Office Assistant to help us during clinic days.. You'll start by helping set up the office, then become the welcoming face and steady hand that keeps our front desk running and our patients cared for. Job Description:
You'll own the day-to-day patient experience, front-desk operations, setting up equipment, ordering and organizing supplies.
Front desk & patient experience
- Greet patients, answer phone calls, and schedule appointments
- Room patients and prepare them for their consultations
- Assist patients with basic requests and address immediate concerns
- Keep the office clean, organized, and welcoming
Patient intake & records
- Handle patient intake and verify patient information
- Maintain and update patient records accurately and securely
- Prepare patient charts so they're ready for every appointment
Billing & insurance
- Process payments, handle billing inquiries, and manage patient balances
- Coordinate insurance verification and pre-authorization for treatments and procedures
Coordination & administration
- Triage calls and messages, relay information to the right medical staff, and follow up as needed
- Coordinate with medical staff to keep patient flow smooth and the office running efficiently
- Perform administrative tasks such as data entry and filing
- Ensure compliance with healthcare regulations and standards
Requirements:
- 2–3 years of experience in a healthcare or medical office setting
- High school diploma or equivalent (a qualification in healthcare administration is a plus)
- Bilingual: You must be fluent in English and one of the following: Spanish, Cantonese, Mandarin, or Vietnamese. This is essential for serving our patient community and is a firm requirement for the role.
- Strong organizational and multitasking skills
- Excellent interpersonal and communication skills
- Basic understanding of medical terminology and practices
- Proficiency with office software and electronic health record (EHR) systems
- Comfortable working both independently and as part of a team
Compensation & Schedule
- Pay: $26/hour
- Hours: Part-time, approximately 80 hours/month, with potential to increase over time
- Location: On-site in San Jose, CA
