Seattle Preparatory School is a Catholic, Jesuit college preparatory school with an enrollment of about 790 students in grades 9-12. Purpose:
Jesuit education, also known as Ignatian education, is an approach to education inspired by the teachings and principles of St. Ignatius of Loyola, the founder of the Society of Jesus (Jesuits), a Catholic religious order. Jesuit education is known for its emphasis on intellectual rigor, moral and ethical development, and the holistic formation of individuals. Jesuit education is not limited to Catholic students, and our own and many more Jesuit institutions welcome students of various religious backgrounds. The principles of Jesuit education have been influential in the development of a well-rounded, values-based approach to education that extends beyond the classroom and into the broader community.
The Receptionist and Assistant to the Dean provides administrative support to the Dean of Students, manages daily student attendance, and manages the main office for the school. This is a full-time, 12 months per year position and hours are from 7:00 am - 3:30 pm Monday- Friday.
Essential Functions:
- Maintain a physical presence in the office. Provides a warm and welcoming presence for all visitors.
- Serves as the first point of contact for campus visitors. Monitors the entry system to greet visitors (e.g. public, parents, students, vendors, etc.), responds to inquiries and/or directs them to appropriate personnel in accordance with school policies regarding building security.
- Oversee the student attendance process:
- Performs all attendance duties as directed by Dean of Students.
- Receives inbound phone calls from parents regarding student attendance.
- Maintains attendance information in designated software program and daily attendance log.
- Tracks pre-planned absence communications from students and parents and ensures that these are communicated these to appropriate colleagues.
- Interfaces with students/ parents to address and/or correct unexcused absences and attendance inaccuracies in a timely manner. Communicates to the Dean of Students any potential truancies.
- Responsible for accurate record keeping of various school forms e.g. government health forms (immunization records), accident report forms, parent consent, and liability waiver forms.
- Tracks sensitive and confidential student information regarding attendance, and health related issues.
- Communicates daily with students, parents, faculty and other specified Seattle Prep staff in regard to attendance and other related student issues as requested by the Dean of Students.
- Is the first to answer calls to the school and responds to inquiries, transfers calls, and/or takes messages.
- Receives deliveries, mail, supplies, messages, etc. and disseminates materials to appropriate parties.
- Receives drop offs of items from parents and community members for forgotten items, auction drop offs, ect. Manages Sick Room and Lost and Found.
- Acts as Attendance & Communications Lead in the case of school wide evacuations.
- Administers ASB replacement cards for students in coordination with photography vendor.
- Administers access card replacements for students in coordination with the Dean of Students
- Reports statistics and health records to OSPI in accordance with state laws.
- Provides administrative support as needed for Dean of Students.
Minimum Qualifications:
- High school diploma or equivalent and two or more years of administrative, office coordination, or customer service experience, preferably in an educational environment. Or a combination of education and experience sufficient to perform the essential functions of the job.
