Role Highlights
- Job Type: Part-time, non-exempt
- Location: Remote, United States
- Schedule: Approximately 20 hours per week with a flexible schedule. While hours can largely be worked independently, the ideal candidate has the flexibility to respond to priority needs, support time-sensitive requests, and maintain quick turnaround times when necessary.
What You Bring to the Team
Required Qualifications and Skills
- 3+ years of experience in an Executive Assistant, supporting visionaries, Administrative Assistant, Project Coordinator, or similar support role
- Exceptional organizational skills and attention to detail
- Strong written, verbal, and interpersonal communication skills
- Proven ability to manage multiple priorities, deadlines, and competing demands
- High level of professionalism, discretion, and ability to maintain confidentiality
- Strong follow-through, accountability, and problem-solving skills
- Ability to work independently, anticipate needs, and proactively drive tasks to completion
- Advanced proficiency in Google Workspace, particularly Google Sheets, Docs, Calendar, and Drive
Preferred Qualifications and Skills
- Experience supporting executive leaders, business owners, physicians, or senior leadership teams
- Healthcare, clinical, research, or physician-support experience preferred
- Experience managing complex calendars, travel arrangements, meetings, and executive communications
- Familiarity with EOS® or other goal-setting and accountability frameworks
- Experience coordinating projects, tracking priorities, and supporting organizational initiatives
How You'll Make a Difference
- Manage executive calendars, scheduling, and priorities to maximize leadership effectiveness and focus.
- Coordinate meetings, including agendas, logistics, note-taking, action item tracking, and follow-up.
- Track key initiatives, projects, goals, and commitments to ensure priorities stay on track.
- Draft executive communications, presentations, reports, and meeting materials.
- Transform conversations, voice notes, and ideas into organized action plans and next steps.
- Conduct research and prepare briefing materials to support strategic decision-making.
- Coordinate travel, appointments, and other administrative needs as assigned.
- Support EOS execution by tracking Rocks, priorities, scorecards, to-dos, and organizational goals, while coordinating planning sessions, accountability meetings, and follow-up activities.
- Help drive accountability across leadership by monitoring progress, maintaining visibility into key objectives, and ensuring commitments are completed.
- Develop systems, tools, and processes that improve organization, efficiency, and execution.
- Leverage technology and AI tools to streamline workflows and enhance productivity.
- Maintain the highest level of professionalism, discretion, and confidentiality.
