Job Summary
We are seeking a proactive and detail-oriented Property Management Assistant to join our dynamic team. In this vital role, you will support the daily operations of our property management department, ensuring seamless communication between tenants, vendors, and property owners. Duties
- Assist in managing lease or rental agreements, including drafting, renewal processing, and record keeping to ensure accuracy and compliance with legal standards.
- Support property leasing activities by coordinating showings, screening prospective tenants, and processing applications efficiently.
- Maintain detailed records using property management software such as Yardi or OneSite, including rent payments, maintenance requests, and tenant communications.
- Handle customer service inquiries with professionalism via phone, email, or in person, addressing concerns promptly and courteously.
- Coordinate property maintenance and facilities management tasks to ensure properties are well-maintained and compliant with safety regulations.
- Assist in legal administrative processes related to landlord-tenant law, Fair Housing regulations, LIHTC (Low-Income Housing Tax Credit), and Section 8 programs.
- Support conflict management efforts by mediating tenant disputes and escalating issues when necessary to ensure a positive living environment.
- Enter data accurately into management systems, file documents systematically, and support administrative tasks such as filing and record retention.
Skills
- Proficiency with property management software such as Rentec, OneSite, or similar platforms.
- Strong understanding of landlord-tenant law, Fair Housing regulations, LIHTC programs, and Section 8 housing policies.
- Experience in real estate administrative functions including lease management, contracts review, and legal documentation.
- Excellent customer service skills with professional phone etiquette and conflict resolution abilities.
- Ability to negotiate lease terms effectively while maintaining compliance with legal standards.
- Knowledge of property maintenance procedures and facilities management practices.
- Demonstrated experience in office administration tasks such as data entry, filing, and record keeping.
- Effective communication skills for engaging with tenants, vendors, contractors, and team members.
- Familiarity with CMMS (Computerized Maintenance Management System) tools is a plus for tracking maintenance requests and coordinate sudden maintenance emergencies.
- Strong organizational skills combined with the ability to prioritize multiple responsibilities efficiently.
- Texas Reak Estate License
- A valid driver's license and reliable vehicle for on-site property inspections and showings.
