Part-Time Bookkeeper / Shipping Documentation Coordinator

Location: New York, NY (In-Office or Hybrid)

Employment Type: Part-Time (20–30 hours per week)

About Us

We are an established home textile import and distribution company supplying major retailers and e-commerce customers throughout North America. We are seeking a reliable, detail-oriented Part-Time Bookkeeper / Shipping Documentation Coordinator to support our accounting and logistics operations.

ResponsibilitiesBookkeeping

  • Maintain company financial records using QuickBooks
  • Process Accounts Payable and Accounts Receivable
  • Reconcile bank and credit card accounts
  • Prepare invoices and record customer payments
  • Record journal entries and maintain the general ledger
  • Assist with monthly financial reporting and year-end preparation
  • Work closely with management and our outside accountant

Shipping Documentation & Logistics

  • Prepare and review shipping documentation for import and export shipments
  • Coordinate with freight forwarders, customs brokers, factories, and warehouses
  • Review commercial invoices, packing lists, bills of lading, and other shipping documents for accuracy
  • Track shipments and maintain shipping records
  • Communicate with customers regarding shipment status and required documentation
  • Assist with logistics coordination and scheduling

Qualifications

  • Minimum of 3 years of bookkeeping experience
  • Strong proficiency with QuickBooks (required)
  • Experience with Accounts Payable, Accounts Receivable, and bank reconciliations
  • Experience preparing or coordinating import/export shipping documentation preferred
  • Proficiency in Microsoft Excel, Microsoft Word, and Microsoft Office
  • Strong organizational, communication, and time-management skills
  • Ability to work independently, prioritize tasks, and manage multiple deadlines
  • Experience in importing, wholesale distribution, logistics, or the home textile industry is a plus
  • Ability to speak and read Chinese (Mandarin or Cantonese) is helpful, but not required
