DOCCU is seeking a professional and experienced Administrative Assistant for our Downtown Baton Rouge office.
Reports To: Human Resources Manager
Summary: The primary responsibility is to provide assistance with administrative tasks for the Leadership team and aid to the Executive Assistant. The position requires discretion, confidentiality, professional presence, and a relationship-centered focus.
DUTIES AND RESPONSIBILITIES:
- Communicate with supervisor on daily tasks and assigned work
- Develop and maintain spreadsheets, documents, etc., using Word, Excel, Adobe
- Work in multiple online platforms, databases, etc
- Copy, sort, file, scan, organize paper and electronic files etc.
- Run errands
- Assist with organizing, attending, monitoring, documenting executive level confidential meetings
- Reconciling monthly billing statements
- Maintaining and organizing supply ordering, stocking, and tracking
- Organizing and coordinating events
- Assist in obtaining updated Vendor information to complete appropriate annual due diligence
- Assist in updating and handling records for Board Members, maintain attendance & participation spreadsheets as needed by Executive Assistant
- Other duties as assigned or deemed necessary

OVERVIEW OF QUALIFICATIONS:
- Ability to communicate effectively and manage communications issues in a professional manner.

- Service oriented with an ability to maintain a courteous, patient, and supportive presence.
- Proficient in Microsoft365 (Word/Excel), Adobe, basic clerical, computer skills, and ability to perform mathematical calculations.
- Ability to maintain a high degree of confidentiality.
Minimum Qualifications:
- at least 2 years of experience as an administrative assistant in a professional business office setting
- Experienced and proficient in Microsoft 365, Adobe.
- Skilled in thoroughness and accuracy. Able to take direction and complete tasks timely and with minimal error
General Duties and Responsibilities:
- Provide quality member service while projecting a positive image.
- Keep all member and employee related business in strictest confidence.
- Comply with DOCCU operations and security procedures.
- Maintain neat, clean, and secure work area, equipment, and files.
- Maintain working knowledge of all DOCCU guidelines
- Scan documents into the system as needed. Maintain all documents and files according to applicable retention schedule.
- Communicate in a professional, positive, and cooperative manner with co-workers and members, in the office, over the phone and through email/mail, in order to establish and maintain effective relations.
- Contribute to the team effort by accomplishing pre-determined goals and meeting deadlines.
- Assist on special projects and/or committees as requested.
- Perform all other duties as assigned or deemed necessary.
Job Type: Full-time
Pay: $15.00 - $18.00 per hour
