The Executive Assistant reports directly to the Senior Inpatient Officer of Camber and provides consistent services and support to the Camber Vice Presidents. Working closely with this executive team, the Executive Assistant will be responsible for handling sensitive and confidential information, will be able to recognize and adjust priorities, and will model the organization's mission and standards. The Executive Assistant will have a positive, outgoing, and personable demeanor and will be able to relate well with diverse populations and age groups.

Minimum Requirements:

Education: Bachelor's degree from an accredited college or university preferred. High school diploma or equivalent is required.

Licensure/Certification: Valid drivers license and auto insurance with a good driving record. At least 21 years of age.

Qualifications:

  • The ability to multitask, outstanding attention to detail, strong organizational and time management skills.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proficient skills in Microsoft Office Suite, including Word, PowerPoint, Excel and Outlook email.

Experience: A minimum of five years' experience supporting executive or senior leadership roles. Experience in a healthcare environment preferred.

Major Duties:

  • Demonstrate professionalism, respect, and inclusivity toward colleagues and community stakeholders.
  • Manage and coordinate executive team calendars and schedules.
  • Arrange executive travel, including flights, hotels, transportation, and dining reservations.
  • Prioritize multiple projects and ensure timely completion of tasks.
  • Serve as a Notary Public for executive team needs.
  • Schedule and coordinate meetings, conference calls, video conferences, and meeting spaces.
  • Develop, update, and maintain administrative systems and processes for efficiency.
  • Handle incoming and outgoing mail, faxes, and document distribution.
  • Proofread, edit, and draft correspondence on behalf of executives.
  • Track invoices, receipts, expense reports, and maintain related spreadsheets.
  • Create, update, distribute, and monitor organizational forms and documents.
  • Prepare, coordinate, and track board reports.
  • Attend meetings and record meeting minutes as needed.
  • Coordinate maintenance and repairs for office equipment and maintain purchase records.
  • Manage office shipping, postage, mailing services, and UPS deliveries.
  • Submit and monitor IT service requests for the executive team.
  • Maintain and update organizational charts and company contact lists.
  • Order, inventory, and manage office supplies for the administrative suite.
  • Oversee the upkeep and organization of conference rooms and kitchenette areas.
