Job Title: Administrative Assistant
Location: Tulsa Oklahoma
Pay: 19-24/hr
Hours: 8am-4:30pm
Position Summary
Our client is looking for an Administrative Assistant! The Administrative Assistant provides organizational and administrative support to ensure efficient operations across multiple departments. This role assists with scheduling, data management, reporting, documentation, communication, and workflow coordination. The position serves as a key resource in maintaining accurate records, supporting internal processes, and helping ensure timely completion of organizational priorities.
Primary Responsibilities
- Assist with maintaining schedules, calendars, and project timelines
- Support planning activities by tracking requirements, deadlines, and resource availability
- Monitor the flow of work, assignments, and related documentation to ensure timely completion
- Assist with coordinating shipment, delivery, and logistics information as needed
- Update and maintain information within company systems, spreadsheets, databases, and reports
- Track priorities, schedule changes, and status updates for ongoing activities and projects
- Support communication between departments to facilitate effective workflow and collaboration
- Generate, distribute, and maintain reports and administrative records as needed
- Maintain organized files, records, and documentation in accordance with company procedures
- Assist with document control, data entry, filing, and record management activities
- Support inventory, purchasing, and administrative tracking activities as assigned
- Assist with customer communications, schedule coordination, and follow-up activities
- Provide general administrative support to office personnel and management
- Perform other administrative duties and special projects as assigned
Required Skills and Qualifications
- High school diploma or equivalent required
- Associate degree or related administrative experience preferred but not required
- Previous office, administrative, customer service, scheduling, logistics, or coordination experience preferred but not required
- Proficiency with Microsoft Office applications, including Excel and Outlook
- Ability to accurately review and manage detailed information, records, and documentation
- Strong organizational skills and attention to detail
- Ability to follow written procedures, policies, and instructions
- Basic math and data entry skills
- Strong verbal and written communication skills
- Ability to manage multiple tasks and priorities while meeting deadlines
- Ability to work independently as well as collaboratively within a team environment
- Comfortable working in a fast-paced setting with changing priorities
- Ability to sit, stand, walk, and occasionally lift and carry up to 25 pounds
