The Opportunity
We are seeking a highly organized, execution-oriented, and tech-savvy operations professional to serve as Operations Manager, reporting directly to our Chief Operating Officer (COO), and supporting the firm's internal operations, business development initiatives, and operational excellence.
In this role, you will help turn the COO's priorities into action — improving systems, building scalable processes, implementing automation, and ensuring operational initiatives are executed efficiently and consistently. You will work across multiple areas of the firm, including operations, finance, business development, marketing, HR, vendor management, and client experience, to keep projects on track and support the firm's continued growth.
You will also supervise the firm's administrative and support staff, support recruitment and onboarding efforts, and contribute to performance management and team accountability. Working closely with the COO and firm leadership, you will play a key role in strengthening our people, systems, and processes while driving ongoing operational efficiency.

Key Responsibilities
Operations, Projects & Process Improvement
Support the COO in executing strategic initiatives, overseeing day-to-day operations, and coordinating cross-functional projects to keep priorities, deadlines, and deliverables on track.
Build, implement, document, and continuously improve operational workflows, SOPs, systems, and internal processes, ensuring adherence to firm policies and standards.
Monitor operational performance, identify bottlenecks, and drive continuous improvement through AI, automation, and technology-driven solutions.
Develop scalable systems and optimize workflows within monday.com and other business platforms to improve efficiency, consistency, accountability, and employee experience.
Business Development & Firm Growth
Support referral partnerships, networking initiatives, marketing efforts, client engagement, firm events, and other business development activities, while identifying opportunities to strengthen strategic partnerships and improve client experience.
Maintain and optimize the firm's CRM system to support lead management, client communications, reporting, and long-term business growth.
People Operations
Supervise the firm's administrative and support staff, providing coaching, operational guidance, and performance support.
Support recruitment through candidate pipeline management, interviewing, onboarding, and new hire integration, partnering with HR and the COO to ensure consistent execution of people-related policies and processes.
Drive employee accountability, support performance management, and contribute to ongoing professional development initiatives.
Financial & Administrative Operations
Support financial and operational reporting, budgeting initiatives, performance tracking, and operational documentation on behalf of the COO.
Manage vendor relationships, software subscriptions, office resources, operational contracts, and expenses, identifying opportunities for cost savings and process improvements.
Qualifications
Bachelor's degree in Business Administration or a related field (required); MBA preferred but not required.
Minimum of 5 years of experience in a managerial role (required).
Experience working with U.S.-based companies (required); experience with a U.S.-based law firm highly preferred.
Demonstrated experience managing operational projects, improving business processes, and driving initiatives from concept through execution.
Experience supervising administrative or operations teams, including recruitment, onboarding, coaching, and performance management.
Strong understanding of operational reporting, business processes, and workflow optimization.
Experience with Salesforce, GoHighLevel, or other CRM platforms (required).
