Real Estate Team Administrator

Ready to manage the systems behind a high-performing real estate team?

Location: Hybrid — mix of remote work and in-office support in Bethesda, MD

Type: Part-time to Full-time

Join a high-performing real estate team known for excellence and high-level production! We’re looking for a detail-oriented, proactive, experienced Real Estate Team Admin to become the backbone of our operations — managing emails, listings, contracts, and marketing, while helping build the systems that support our next level of growth.

This is an ideal role for someone with experience in real estate transaction coordination and operations and is ready to step into a leadership path. You’ll work closely with the team leads to onboard REO property listings, oversee transactions, coordinate communication, and manage the day-to-day operations that keep the business moving.

Key Responsibilities

  • Manage Team Leader's emails
  • Manage listings and transaction files from contract to close
  • Prepare and organize listing documents, disclosures, and marketing materials
  • Manage REO property updates
  • Update the CRM, MLS, and shared tracking systems to maintain accurate client records
  • Coordinate team meetings, track deadlines, and communicate with vendors and partners
  • Support social media, email marketing, and client events
  • Maintain and improve systems, checklists, and standard operating procedures
  • Provide reporting and accountability tracking for the team’s production goals
  • Serve as a liaison between team members, clients, and the broker’s office
  • Take initiative to anticipate needs and solve problems before they arise

Ideal Candidate

  • Able to handle a fast and deadline focused pace
  • 3+ years of experience in real estate operations, marketing, or transaction coordination
  • REO experience is a huge plus but not necessary
  • Strong organizational skills and attention to detail
  • Able to take initiative and get things done under fast deadlines.
  • Tech-savvy with tools like MS Office Suite, Canva, CRM systems, and Bright MLS platform
  • Confident communicator who can manage multiple priorities at once
  • Resourceful, positive, and driven to learn — with leadership potential and a systems mindset
  • Comfortable working both independently and collaboratively
  • Real Estate License a strong plus!

This position is designed as a pathway to Director of Operations. As the team continues to grow, the right person will take on more leadership responsibility, manage additional staff, and shape the operational infrastructure of the business.
