Role Overview

Hillel at Brandeis seeks an Operations Coordinator: an organized, personable, and resourceful professional who will play a key supporting role in the day-to-day life of one of the most distinctive Jewish communities in American higher education.

Brandeis has the highest percentage of Jewish students of any nonsectarian university outside of Israel, approximately 1,200 students in a close-knit, academically serious community that is simultaneously the most diverse and most Jewishly affiliated student body in the country. There is no other campus quite like it.

The Operations Coordinator works in close partnership with the Executive Director and the Director of Jewish Student Life, and with the rest of the Hillel staff, keeping our day-to-day operations running smoothly and serving as a warm, capable point of contact for students, parents, alumni, and campus partners. This part-time role (25 hours/week) is well suited to someone with strong interpersonal and organizational skills who wants hands-on experience in a fast-paced nonprofit office.

This is also a moment of organizational transformation. Without a dedicated home of our own, much of Hillel's operational energy goes into coordinating space, logistics, and university relationships, work that requires creativity, persistence, and strong institutional partnerships. The Operations Coordinator will be a key part of managing that day-to-day complexity as Hillel at Brandeis moves through a $25 million Campaign for the Future of Jewish Life, which will fund the renovation of an existing building on campus into a dedicated Center for Jewish Life and Leadership, work expected to begin in the coming months.

What You’ll Do

Office and Systems Administration

Manage the main office phone line and email account in a timely, friendly, and professional manner

Track and maintain our inventory of office and event supplies

Maintain the order and organization of our shared spaces, including our office, student lounge, and supply closets

Master Hillel-wide systems, including our event platform, CRM, Ramp, and Coupa

Event and Hospitality Support

Work closely with the Director of Jewish Student Life to organize and implement large-scale events, including weekly Shabbat dinners, High Holidays and other festivals, Family Weekend, and Commencement

Book campus spaces, communicate with scholars-in-residence and other guests visiting over Shabbat and holidays, track guest lists for RSVP events, and manage visits from prospective students and families

Help maintain a hospitable and welcoming atmosphere for VIPs, students, and families alike

Parent and Alumni Outreach

Serve as a first point of contact for parents and alumni reaching out to the Hillel office, fielding inquiries and routing them to the right staff member

Support parent and alumni communications and stewardship touches in coordination with the development and student life teams

Finance Support

Support the Executive Director in the management of organizational finances, including the use of Ramp, Coupa, and other relevant platforms

What You’ll Bring to the Job

1-2+ years of experience in a related role (office administration, university operations, executive assistantship)

Proficiency in Google Workspace

Experience working with professional staff in a collaborative, team-oriented environment

Professionalism, creativity, and emotional intelligence

Comfort representing Hillel to parents, alumni, and campus partners

Experience with, or the desire to learn about, Jewish communal life

Strong interpersonal skills
